Reporting to Hong Kong Management | Cantonese Required | Proactive & Organized

We’re seeking a highly organized, self-driven Operations Executive to run our daily Malaysia operations. You’ll work closely with our Hong Kong management — bringing strong communication, initiative, and accountability to the role. Comfortable with remote reporting? You’ll proactively share progress, flag challenges, and deliver outcomes while offering respectful, actionable insights on local practices to bridge any gaps.

Responsibilities
Operational & Executive Support
  • Provide proactive operational support by anticipating needs, resolving issues, and driving efficiency across administrative processes.
  • Prepare and maintain corporate documents including memorandums, meeting minutes, and internal reference documents for management.
  • Support business development and company culture by assisting in project bidding and coordinating corporate events.
  • Take ownership of ad hoc tasks assigned by Management — ensuring timely execution, clear follow-up, and proactive reporting of progress and outcomes.
Talent Acquisition & Employer Branding
  • Lead the full-cycle recruitment process, from candidate sourcing and screening to interviewing and selection.
  • Enhance our employer brand through strategic social media recruiting on platforms like LinkedIn, Indeed, and Facebook.
  • Develop and maintain a robust talent pool to meet current and future hiring needs.
HR & Payroll Operations
  • Oversee end-to-end HR functions as a versatile generalist: onboarding, offboarding, leave administration, attendance tracking, and performance appraisals, while maintaining accurate employee records.
  • Manage the complete payroll process in Infotech system, ensuring accurate, timely processing of salaries, EPF, SOCSO, EIS, PCB, and HRDF payments with well-organized documentation.
  • Handle all related statutory body submissions and maintain meticulous, well-structured HR and payroll filing systems (both physical and digital) for easy tracking, audit, and compliance purposes.
Compliance & Legal Administration
  • Ensure full compliance with all local Malaysian labour laws, business regulations, and statutory filings (including CP204, Form E, EA Form).
  • Manage the application, renewal, and upkeep of all necessary business and operational licenses.
  • Serve as the primary liaison for all statutory matters, coordinating seamlessly with auditors, the company secretary (cosec), and lawyers.
Office & Facilities Management
  • Manage all office facilities, vendor relationships, procurement, and potential relocations or renovations.
  • Manage daily administrative tasks with discretion and efficiency: correspondence, organized filing systems (physical and digital), and secure confidential documentation.
Requirements
  • Proven experience in HR and Office Management.
  • Strong knowledge of Malaysian employment law.
  • Strong communication and organization skills.
  • Detail-oriented professional with analytical ability.
