Senior Officer – Safety Performance & Data Management

Position Title

Senior Officer – Safety Performance & Data Management

Reporting To

Assistant Manager – Safety Performance & Data Management

Role Purpose

Responsible for providing administrative and operational support to ensure the effective tracking, documentation, and communication of safety performance activities. This role serves as the backbone of the team’s coordination efforts, helping to manage records, support meetings, maintain data integrity, and assist in routine reporting and logistics.

Key Accountability
  • Documentation and Record Management
    • Maintain an organized system for storing reports, meeting minutes, project trackers, and key documentation.
    • Ensure accurate filing and version control of documents for audit readiness and compliance purposes.
  • Action Tracking and Follow-up
    • Track open items and corrective actions arising from safety reports, internal reviews, and safety meetings.
    • Follow up with responsible parties to ensure timely responses and closures, and update the tracking logs accordingly.
  • Data Compilation and Support
    • Assist in compiling and formatting safety performance and quality data for management reports.
    • Support the preparation of regular summaries, charts, and dashboards in coordination with the Executive and Assistant Manager.
  • Meeting and Logistical Coordination
    • Coordinate logistics for Safety Review Board (SRB), Safety Action Group (SAG), and other divisional meetings.
    • Prepare basic meeting materials (attendance, agenda, venue booking, etc.) and support note-taking when required.
  • System and Database Administration
    • Support data entry and updates in QSD IT tools (e.g., safety tracking systems, capability databases, or performance dashboards).
    • Maintain accuracy of records and assist in simple audits of system data when required.
  • Stakeholder Coordination
    • Assist in maintaining updated contact lists and calendars for divisional safety representatives.
    • Coordinate communications and information flow between stakeholders for ongoing initiatives.
  • General Administration
    • Provide day‑to‑day administrative support to the Safety Performance and Data Management team.
    • Assist with logistical arrangements for internal audits, site visits, training sessions, and authority engagements.
Qualifications and Working Experience
  • Diploma or equivalent qualification in Administration, Aviation Safety, Business, Data Management, or related fields; or,
  • Candidates with relevant working experience in safety, quality, or compliance support functions may be considered in lieu of formal education
  • Diploma or equivalent – 0 to 1 year experience

Administrative or coordination role, preferably in aviation, engineering, safety, or quality‑related departments

  • Strong organizational and time management skills.
  • Proficient in Microsoft Office (especially Excel, Word, PowerPoint).
