Senior HR Executive (Admin & Operations)
Location: Kulai, Johor
We are looking for an experienced HR professional to support both people operations and business partnering for a fast‑growing organisation.
Key Responsibilities
HR Operations & Administration
- Manage end‑to‑end HR administration including employment contracts, confirmation letters, HR correspondence, visa applications and renewals.
- Maintain accurate employee records and report staff movements (new hires, transfers, exits) to HRHQ.
- Administer leave, medical claims, benefits, and review overtime claims prior to payroll submission.
- Support onboarding and offboarding processes, ensuring compliance with company policies and Malaysian labour laws (Employment Act, IR Act, SOCSO, LHDN, etc.).
- Administer HRDC claims, including documentation, submissions, tracking, and reporting.
- Support internal audits and certifications by maintaining accurate HR documentation.
- Handle day‑to‑day HR queries professionally and confidentially.
HR Business Partnering
- Act as the on‑site HRBP, providing guidance to managers and employees on HR policies, practices, and people matters.
- Support employee engagement initiatives and promote a positive workplace culture.
- Partner with line managers on workforce planning, employee issues, and HR operational matters.
- Serve as a key link between the JBDC team and HQ to ensure alignment and effective communication.
Recruitment & Onboarding
- Support full‑cycle recruitment activities including sourcing, screening, interview coordination, and candidate communication.
- Prepare offer letters, support pre‑employment checks, and coordinate onboarding and induction programmes.
HR Systems & Process Improvement
- Support HRIS data maintenance, validation, and basic reporting.
- Identify opportunities to improve HR processes, documentation standards, and administrative workflows.
- Support the implementation of Group‑level HR policies, systems, and process updates at the local level.
- Contribute to employer branding and recruitment‑related communications.
Requirements
- Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience).
- 2–4 years’ experience in HR operations, HR administration, or HRBP‑related roles.
- Strong understanding of Malaysian labour laws and HR best practices.
- Experience working with HR systems/HRIS; exposure to digitalisation or system implementation is an advantage.
- Strong organisational and communication skills, with the ability to work independently in a fast‑paced environment.
- High level of professionalism, discretion, and integrity.
