  • Elevate the ISKL Experience: design and organize exceptional events that leave a lasting impression on our students, parents, staff, and wider community, integrating operational excellence and innovative solutions into event planning and execution.
  • Foster Community Connection: build a strong sense of community within our school by creating opportunities for meaningful interaction, collaboration, and shared experiences through well‑organized events.
  • Maintain ISKL’s Guiding Statements while enhancing customer user experience through event organization and supporting the whole‑school calendar of events.
  • Event Logistics and Operations:
    • Ensure seamless event execution by following established procedures and collaborating across departments.
    • Proactively brainstorm and implement innovative ideas to enhance the customer experience during event planning.
    • Manage standards of the Multi‑Purpose Rooms and collaborate with various departments for efficient usage.
    • Coordinate with the Team Captain to understand organizer requirements and ensure accurate execution from setup to breakdown.
    • Participate in site visits with stakeholders to confirm event spaces meet requirements.
    • Liaise with the Performing Arts Center and the Activities & Athletics Department to secure necessary resources for school‑wide events.
    • Coordinate with parent volunteers and internal operational departments to support setup and logistics for PTA events.
    • Oversee the events inventory, ensuring accurate stock levels and equipment maintenance.
    • Lead events spearheaded by the Advancement Department from setup to completion.
    • Source relevant activities and activations that align with event objectives for community engagement.
    • Identify and resolve operational challenges by collaborating with internal teams and external vendors, integrating backup plans, and seeking departmental feedback for continuous improvement.
  • Exceptional Customer Service:
    • Manage the events management system, promptly responding to inquiries.
    • Consistently deliver excellent customer service and foster a customer‑centric culture among team members.
    • Coordinate and communicate event details effectively, both verbally and in writing, to relevant stakeholders.
    • Oversee stakeholders’ experiences throughout the planning and execution process, providing clear communication and support.
    • Conduct post‑event debrief meetings with stakeholders, ensuring comprehensive documentation for continuous improvement.
    • Address and resolve stakeholder concerns and complaints in a timely and professional manner.
    • Use personal judgment and expertise to enhance the customer experience.
    • Stay available to solve problems and suggest alternatives to previous arrangements.
    • Continuously seek feedback to enhance the customer experience, implementing action plans based on insights and data collected.
    • Facilitate additional meetings as needed to address event planning documents, room bookings, and other logistical matters, including meetings with other departmental organizations.
    • Observe and provide feedback to team members on service behaviors, reporting to the Marketing & Community Engagement Lead.
    • Guide the team to deliver high standards of service while setting a positive professional example for team members.
    • Assist in the development and implementation of corrective action plans.
    • Proactively leverage experience to improve service performance.
    • Manage the outsourced team and respective vendors to ensure events are set up and completed on time.
    • Perform other duties as assigned to meet school event needs.
    • Lead Team Captains to ensure daily operations are handled efficiently and space configurations accurately reflect event organizer requirements.
Qualifications
  • Bachelor's degree in Event Management, Marketing, Communications, or a related field.
  • Minimum of 5 years of experience in event management, project management, or operational logistical support.
  • Proven ability to coordinate operationally with diverse stakeholders (organizers, internal departments, and volunteers).
  • Prior experience in an educational or school environment is an advantage but not a requirement.
  • Proficiency in Canva, Google Suite, and GoFMX (or equivalent) with the ability to create visually appealing documents.
  • Strong organizational, multitasking, and time‑management skills, with meticulous attention to detail.
  • Effective written and verbal communication skills in English and Bahasa Malaysia.
  • Results‑oriented and self‑motivated, able to work independently and collaboratively in a fast‑paced and dynamic environment.
  • Able to handle unexpected challenges with grace and composure.
  • High proficiency in people‑management skills with strong interpersonal capabilities to build relationships with internal and external stakeholders.
  • Flexibility to work evenings, weekends, and travel as required to support events.
  • A passion for people management and bringing event concepts from theory to reality, focusing on leading teams to create a meaningful community engagement effect on the school community.
