Responsibilities
I. Contract and Business Document Support (Core Responsibility)
- Responsible for drafting, organizing, proofreading and standardizing documents such as service contracts, sales contracts, quotations and business agreements.
- Conduct repeated verification of key information including contract clauses, service content, prices and cycles to ensure clear logic and accurate expression.
- Unify and maintain the format, language style and professional standards of the company’s external business documents.
- Cooperate with the sales, technical and management teams to complete the internal review and finalization of contracts.
II. Customer and Sales Support
- Assist the sales team in preparing business documents, service descriptions and supplementary materials required by customers.
- Follow up on contract versions, approval progress and signing status, and keep detailed records.
- Communicate with customers regarding contracts and relevant documents to ensure the information delivered is clear, precise and unambiguous.
III. Archives and Compliance Management
- Establish and maintain the filing system for contracts, quotations and customer documents.
- Be responsible for document version control, numbering and retention to ensure traceability.
- Assist in conducting internal compliance inspections to ensure all documents comply with the company’s procedures and management requirements.
IV. Other Supporting Work
- Assist with daily business and administrative support tasks.
- Complete other related work assigned by superiors.
Job Requirements
Essential Qualifications
- Possess solid Chinese writing skills, with clear logic and rigorous expression.
- Be meticulous and patient in work, and highly sensitive to numbers, clauses and details.
- Capable of handling contracts and standardized documents in a long-term and stable manner.
- Have a strong sense of responsibility, as well as basic confidentiality awareness and professional ethics.
Preferred Qualifications
- College degree or above; majors related to business management, secretarial studies, Chinese language and literature, or law are preferred.
- Candidates with relevant experience in business assistant, sales assistant, contract management or administrative documentation are preferred.
- Experience in B2B, engineering, IT, security or system integration industries is preferred.
- Proficient in using Word and Excel, and skilled in document formatting and version control.
