Key Responsibilities
  • Admissions Management
    • Handle all enquiries from prospective students and parents via phone, e‑mail, online platforms, and walk‑ins, providing accurate and timely information on programmes, admission criteria, and deadlines.
    • Coordinate and process student applications, including collection, verification, and recording of all required documents in the school’s system.
    • Arrange and support admission assessments (tests/interviews/placement assessments) with academic staff and follow up on outcomes.
    • Prepare offer letters, rejection letters, and waiting list notifications, ensuring proper documentation and communication.
    • Coordinate registration and enrolment of new students, including issuance of receipts, and onboarding documentation.
    • Maintain an accurate database of applicants and enrolled students, producing periodic admission and intake reports for management.
    • Support marketing/recruitment activities such as open days, school tours, education fairs, and information sessions.
    • Organise and support orientation programmes for new students and parents to facilitate smooth transition into the school.
  • Student & Parent Engagement
    • Maintain up‑to‑date student records (personal details, health information, disciplinary records, achievements) in accordance with data protection guidelines.
    • Monitor student attendance, generate attendance reports, and follow up with parents/guardians on absenteeism in collaboration with class teachers.
    • Act as a point of contact for student and parent enquiries relating to student life, discipline, school rules, and general welfare, escalating cases when necessary.
    • in the coordination and documentation of student disciplinary matters, ensuring due process and proper record‑keeping.
    • Support the planning and execution of co‑curricular activities (CCAs), events, and student leadership programmes in collaboration with relevant departments.
    • Liaise with counsellors, teachers, and external agencies (where applicable) to support students’ academic, social, and emotional needs.
  • Administration & Compliance
      Ensure all admission and student affairs processes comply with internal policies and relevant ministry/regulatory guidelines.
  • Prepare regular management reports on admissions, enrolment, withdrawals, attendance, and student affairs issues.
  • Draft and issue circulars, notices, consent forms, and announcements to parents and students.
  • Assist with visa / pass / permit applications and renewals for international students (if applicable).
  • Support audits, inspections, and accreditation exercises by providing accurate records and documentation.
  • Continuously review and improve admission and student services processes to enhance efficiency and stakeholder satisfaction.
Qualifications & Experience
  • Diploma / Degree in Education Administration, Business Administration, Psychology, Social Sciences or related field.
  • Prior experience in school administration, admissions, or student services is strongly preferred.
  • Familiarity with education sector regulations and student management systems will be an advantage.
  • Customer‑service oriented with strong interpersonal skills and a friendly, professional manner.
