The Sales Administrator at MaiStorage Technology Sdn. Bhd. plays a key supporting role in Malaysia’s sovereign AI and enterprise storage ecosystem. This position ensures smooth coordination between sales, engineering, logistics, and client‑facing teams — enabling the successful delivery of locally designed enterprise SSDs, AI servers, and aiDAPTIV+‑powered solutions to government, education, and enterprise clients.

You will handle quotations, order tracking, CRM updates, tender documentation, and post‑sales coordination — ensuring all projects and deliverables are executed efficiently and with full compliance to government procurement requirements.

Key Responsibilities
  • Prepare and process quotations, purchase orders, invoices, and tender submissions for AI hardware and storage solutions.
  • Coordinate with internal engineering, production, and logistics teams to ensure timely delivery of configured systems and servers.
  • Support sales representatives in responding to client inquiries, RFPs, and proposal requests.
  • Maintain up‑to‑date sales documentation and ensure accuracy in all technical and commercial details.
  • Maintain and update the company’s CRM system with pipeline opportunities, project milestones, and client profiles.
  • Generate weekly and monthly sales performance reports for management review.
  • Track and follow up on outstanding quotations, tenders, and payment collections.
3. Customer & Partner Communication
  • Serve as a key coordination point between MaiStorage, system integrators, distributors, and government agencies.
  • Communicate professionally with clients regarding order status, project timelines, and service arrangements.
  • Assist in after‑sales coordination for warranty registration, service requests, or on‑site deployment scheduling.
4. Documentation & Compliance
  • Ensure all sales transactions and documentation comply with internal SOPs, certification, and reporting standards.
  • Support in compiling project documentation for aiDAPTIV+ AI server and eSSD deployments under government or enterprise contracts.
  • Assist in preparing reports for internal audit, local content verification, and vendor registration processes.
Requirements
  • Education: Diploma or Degree in Business Administration, Marketing, Information Technology, or related field.
  • Experience: Minimum 2 years in sales admin and coordination, preferably within IT infrastructure industry.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Familiar with CRM/ERP systems and tender submission platforms.
  • Strong written and verbal communication in English, Malay, and/or Chinese.
  • Excellent attention to detail, accuracy, and time management.
  • Able to handle confidential commercial and technical information responsibly.
