Responsibilities
- Provide administrative support to the Quality Department, including documentation control, data entry, and report preparation.
- Maintain and update quality management system (QMS) documents, SOPs, work instructions, and forms to ensure compliance with IATF16949 / ISO9001 standards.
- Assist in preparing quality reports such as daily/weekly quality performance summaries, customer complaint tracking, defect trend analysis, and audit reports.
- Coordinate internal and external audits, including scheduling, documentation preparation, follow-up on corrective actions, and record keeping.
- Manage document distribution and ensure controlled documents are accessible to relevant departments.
- Support incoming, in-process, and outgoing quality activities by preparing checklists, inspection records, and quality forms.
- Assist in handling non-conformance reports (NCR), 8D reports, and customer complaint documentation.
- Work closely with production, engineering, and quality teams to ensure proper filing and traceability of quality-related records.
- Maintain calibration records, update equipment tracking lists, and follow up on calibration schedules with suppliers.
- Provide administrative support to quality team meetings, including meeting minutes, scheduling, and follow-up on action items.
- Support new plant setup activities related to quality documentation, system establishment, and audit readiness.
Job Requirements Quality Admin
- SPM or Diploma in Quality Management, Business Administration, Manufacturing, or related fields.
- Minimum 1-3 years of administrative or quality-related experience in manufacturing (automotive industry is an advantage).
- Familiar with QMS standards such as IATF16949, ISO9001, and basic audit requirements.
- Strong competency in Microsoft Office (Excel, Word, PowerPoint); experience with ERP/QMS systems is an added advantage.
- Good document control and organizational skills with high attention to detail.
- Strong communication skills and ability to work closely with cross-functional teams (Quality, Production, Engineering).
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Proactive, responsible, and able to maintain confidentiality of quality-related information.
- Willing to work in a newly established plant environment and support setup activities.
