Overview

We are seeking a proactive and detail-oriented Procurement and Admin Executive to support our Audio Visual (AV) and System Integration business. This role plays a key part in ensuring smooth procurement operations, effective vendor management, and accurate administrative support. The successful candidate will be responsible for sourcing materials, coordinating with suppliers, maintaining records, and supporting finance processes to ensure timely and cost-efficient delivery of goods and services.

Responsibilities
  • Purchasing & Procurement: Source, evaluate, and negotiate with suppliers to secure the best pricing, quality, and terms. Prepare and process purchase orders in compliance with company SOPs. Monitor inventory levels and coordinate replenishment with relevant departments. Compare quotations, prepare cost analyses, and obtain management approval for purchases. Track order status and delivery schedules to ensure the timely supply of goods and services.
  • Administrative Support: Maintain accurate records of purchases, supplier databases, and contracts. Assist in preparing procurement-related reports for management review. Handle filing, documentation, and correspondence related to procurement. Liaise with the Finance team for invoice verification and payment processing.
  • Vendor Management: Build and maintain strong relationships with suppliers and vendors. Resolve supplier-related issues such as delivery delays, product quality concerns, and disputes.
Requirements
  • Diploma/Certificate in Business Administration, Supply Chain, or a related field.
  • Minimum 1–2 years of working experience in procurement or administrative functions.
  • Proficient in Microsoft Office; exposure to ERP/procurement systems is an added advantage.
