Job summary

A leading manufacturing company in Malaysia is looking for a Procurement Officer to manage purchase orders and supplier relationships effectively. Responsibilities include preparing purchase orders, tracking material supply, and negotiating with suppliers. The ideal candidate should have at least 2 years of experience in procurement, preferably in the construction industry, and must be proficient in Mandarin to facilitate communication with clients and partners. Job description

According to the purchase requisition form provided by the demand department, prepare the purchase order, carry out the purchase operation in a timely, appropriate, and cost‑effective manner, complete the purchase task, ensure that the required materials and related services are purchased in a timely manner according to the plan, and ensure the normal production.

Handle daily purchase orders, track the normal storage of materials throughout the process, and prepare the pre‑declaration data for imported materials to avoid customs declaration problems that affect delivery.

Handle abnormal arrival problems in a timely manner, and handle unqualified product returns, claims, etc.

Track the medium and long‑term changes in the supply of purchased materials, formulate risk procurement plans, and control procurement risks; do a good job of comparing and negotiating prices for mass‑produced materials.

Carry out supplier review and development, comparative analysis, and judgment, and negotiate the manufacturer's capacity, equipment, delivery, quality assessment and certification, and finally decide to select appropriate suppliers and transaction terms, and confirm the participation of excellent suppliers. Regularly review and evaluate the price, capacity, quality, and delivery of the original manufacturer to determine the supply capacity of the original manufacturer.

Document management, timely filing of purchase orders and supplier return orders.

Develop a monthly payment plan according to the payment terms of each supplier.

Keep track Subang store stock and arrange transport when needed.

Evaluate supplier performance based on quality standards, delivery time & best prices and ensure all the criteria are met according to the organizational requirements and expectations.

Perform any other duties as assigned by the Management from time to time.

Support Role

Assist in coordinating with Project/Site teams on material requirement and delivering schedules.

Provide support in verifying invoices and facilitating payment process.

Assist in preparing reports, cost analysis, and documentation for audits.

Support the procurement team in ad‑hoc assignments & administrative task.

Assist in continuous improvement initiatives to streamline purchasing process.

Education, Experience and Skill Requirements

Minimum SPM/Diploma in Business Studies, Supply Chain, or equivalent.

Minimum 2 years of relevant working experience.

Preferably with experience in the construction industry or knowledge of construction materials. Strong negotiation, communication, and interpersonal skills.

This role requires proficiency in Mandarin, as the position involves regular communication with Mandarin‑speaking clients and business partners.
