A leading automotive company in Malaysia is seeking a detail-oriented Procurement Assistant to support daily purchasing operations. You will prepare purchase requisitions and orders, maintain supplier documents, and monitor stock levels. We are looking for a detail-oriented and proactive Procurement Assistant / Purchasing Officer to join our team. The ideal candidate will support daily purchasing operations, ensure accurate documentation, maintain strong supplier relationships, and contribute to effective inventory and cost-control management.
Prepare and process Purchase Requisitions (PR) and Purchase Orders (PO), ensuring accuracy in quantity, specifications, and pricing.
Communicate with suppliers to request quotations, follow up on order status, and ensure timely delivery of goods and services.
Maintain accurate and organized purchasing records, supplier databases, contracts, and invoices for easy reference and audit compliance.
Collaborate with the warehouse/operations team to monitor stock levels, identify low inventory, and plan timely replenishment.
Collect, evaluate, and compare supplier quotations to support cost-saving initiatives while meeting quality standards.
Monitor shipment schedules, coordinate with logistics providers, and help resolve issues related to delays, shortages, or discrepancies.
Handle data entry, update procurement systems, and assist in preparing purchasing reports and cost analyses.
Ensure all procurement activities comply with company policies, ethical practices, and relevant Safety, Health, and Environmental (SHE) regulations.
Contribute to creating a safe, healthy, and environmentally responsible workplace.
Support the company’s Quality and Environmental Management Systems in accordance with ISO 9001 and ISO 14001 requirements.
Strong attention to detail and accuracy
Good communication and coordination skills
Ability to work independently and as part of a team
Basic understanding of procurement or supply chain processes (preferred)
Familiarity with ISO standards is an advantage
Diploma or Bachelor’s degree in technology management, Engineering, Supply Chain Management, Business Administration, or a related field.
1–2 years of working experience (experience in purchasing, procurement, or administrative support preferred; fresh graduates are encouraged to apply).
Basic knowledge of procurement processes and vendor management.
Proficiency in Microsoft Office; familiarity with SAP purchasing modules is an added advantage.
Strong organizational and multitasking abilities with excellent attention to detail.
Good communication and interpersonal skills for effective coordination with suppliers and internal teams.
Ability to work in a fast-paced environment and meet deadlines.
