Job description

We are seeking a detail‑oriented and proactive Purchasing Assistant to support our Head of Department in daily purchasing operations. This role plays a key part in ensuring smooth procurement activities, timely deliveries, and accurate documentation within our HQ.

Key Responsibilities
1. Purchasing & Supplier Coordination
  • Assist with purchasing administrative tasks and documentation.

  • Generate Purchase Orders (POs) accurately and in a timely manner.

  • Follow up with suppliers on delivery schedules and open order status to ensure goods arrive as planned.

  • Handle product warranty claims and coordinate with relevant suppliers or service providers.

  • Maintain and update supplier quotations and incoming costs in the system to ensure all pricing information is current and accurate.

  • Assist in arranging logistics and delivery coordination, including courier services or transportation arrangements where required.

2. Goods Receiving & Documentation Support
  • Enter material receipt information into the system and ensure completeness of records.

  • Maintain and update calibration and service‑related documents, including calibration certificates, service notes, and related compliance documentation.

Requirements
  • Minimum SPM/Diploma in Business Administration, Supply Chain, or related field.

  • Fresh graduates are encouraged to apply; training will be provided.

  • Strong attention to detail, good follow‑up skills, and ability to work independently.

  • Good communication skills and ability to coordinate with internal teams and external suppliers.

  • Familiarity with purchasing processes or Odoo systems is an added advantage.
