Property Assistant

The Property Assistant is responsible for assisting in the daily operations and administration of multiple properties under the management. This includes monitoring property conditions, coordinating maintenance, managing any related matters to tenants, preparing tenancy agreements, and ensuring all rental collections and documentation are up to date.

Key Responsibilities
  • Assist in managing several properties, ensuring all are well-maintained and operational.
  • Conduct regular inspections of properties, units, and common areas to ensure cleanliness and functionality.
  • Coordinate with contractors, maintenance teams, and service providers for repairs and upkeep.
  • Ensure compliance with building and safety regulations.
  • Assist in the preparation, renewal, and termination of tenancy agreements.
  • Update and maintain tenant records, rental rates, and lease documentation.
  • Monitor rental collection and issue reminders for overdue payments.
  • Assist in marketing and viewing of vacant units to potential tenants.
  • Assist in preparing monthly reports on rental collection, vacancy rates, and maintenance expenses.
  • Manage filing systems, invoices, and correspondence related to property operations.
  • Support in cost monitoring for each property.
  • Attend to tenant inquiries, complaints, and feedback professionally and promptly.
  • Liaise with owners, tenants, and vendors to ensure smooth communication and operations.
  • Perform any other duties as requested by Management from time to time.
Requirements
  • Minimum Diploma in Property Management, Business Administration, or related field.
  • At least 1–2 years of relevant experience (fresh graduates are encouraged to apply).
  • Good communication and organisational skills.
  • Able to work independently with minimal supervision.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Possess own transport and willing to travel between properties.
