Job Summary

The Property Administrator is responsible for providing administrative support in the day-to-day operations of property and facilities management. This role ensures the smooth functioning of property-related processes including tenant coordination, vendor communication, documentation, and general office administration.

Key Responsibilities
  • Assist in the preparation and maintenance of property records, reports, and documentation
  • Coordinate with tenants on tenancy matters, complaints, and maintenance requests.
  • Liaise with vendors and contractors for property maintenance, repairs, and services.
  • Monitor and update service contracts, tenancy agreements, and other property-related documents.
  • Prepare purchase requisitions, service orders, and payment claims for property-related expenses.
  • Support the Property Manager in scheduling inspections, maintenance, and other operational tasks.
  • Maintain proper filing systems (digital and physical) for all property-related correspondence and documentation.
  • Assist in budget tracking, cost monitoring, and reporting as required.
  • Ensure compliance with building regulations, safety, and environmental standards.
  • Perform general administrative duties including answering calls, managing emails, and attending meetings when required.
Requirements
  • Diploma or Degree in Property Management, Real Estate, Business Administration, or a related field.
  • Proven experience in administrative roles, preferably in property or facilities management.
  • Strong organizational and multitasking skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Good written and verbal communication skills in English and Bahasa Malaysia.
  • Able to work independently and collaboratively in a team environment.
Additional Skills (Preferred)
