Qualifications

Responsibilities

  • Maintain comprehensive documentation including records, files, and project databases.
  • Assist in detailed project planning and scheduling.
  • Organize and manage project meetings, preparing agendas and documenting proceedings.
  • Monitor project task completion and track milestones.
  • Compile and distribute regular project status reports to stakeholders.
  • Support the allocation and optimization of project resources.
  • Assist in risk assessment and monitor risk management plans.
  • Help enforce quality control processes for project outputs.
  • Participate in problem resolution for project challenges.
  • Assist in managing communications with clients and external parties.
  • Onboard new team members and provide necessary training.
  • Provide administrative support as needed.

REQUIREMENTS

  • Good written and verbal communication skills in Malay and English

RESPONSIBILITIES
  • Documentation and Record Keeping: Maintain comprehensive documentation including records, files, and project databases to ensure accessibility and accuracy.
  • Scheduling and Planning: Assist in detailed project planning and scheduling, including the coordination of timelines and resources to ensure alignment with project goals.
  • Meeting Coordination: Organize and manage project meetings, prepare agendas, handle logistics, and document proceedings to ensure effective communication.
  • Task Tracking: Monitor project task completion, track milestones, and communicate status updates to ensure project deliverables are on schedule.
  • Reporting: Compile and distribute regular project status reports to stakeholders to provide updates on progress, risks, and variances.
  • Resource Allocation: Support the allocation and optimization of resources such as personnel, equipment, and materials, ensuring efficient use throughout the project.
  • Risk Management: Assist in risk assessment, contribute to the development of mitigation strategies, and monitor risk management plans.
  • Quality Assurance: Help enforce quality control processes to ensure that project outputs meet the required standards.
  • Problem Solving: Actively participate in problem resolution, providing support to overcome project challenges.
  • Stakeholder Management: Assist in managing communications and relationships with clients and other external parties.
  • Briefing and Onboarding: Onboard new team members, ensuring they have the necessary information and training to perform their roles effectively.
  • Administrative Support: Provide administrative support including handling correspondence, managing calendars, and organizing travel as needed.
  • Attending any ad-hoc task requested by management from time to time.
