Job description
Responsibilities
  • Providing support and resources for ongoing contracts, projects, and bidding.
  • Responsible for completing the tender proposal and submitting it within the required timeframe.
  • Read and understand the tender requirements.
  • Extract information and prepare the tender summary.
  • Submit the Tender Summary within 24 hrs after receiving the tender.
  • Identify risks associated with the tender and advise the HOD/PM.
  • Prepare initial contracting strategy.
  • Manage and coordinate all aspects of the project: appointment of project team, project setup, and tracking progress.
  • Coordinate and develop the company’s projects, business strategy, and maintain a database for all disciplines of personnel.
  • Update and maintain project management information, documents, and files.
  • Prepare projected expenditure for the contract, weekly timesheet summaries, monthly invoices, monthly reports, and present them to the Project Manager.
  • Track progress of disbursements and oversee the contract to ensure expenses or invoices stay within projected expenditure.
  • Develop and maintain project budgets, including income and expenditures.
  • Actively manage project contracts, finances, and personnel to ensure projects are delivered within time and budget.
  • Plan and implement from the tendering stage into “won” projects, ensuring effective mobilization in line with client/contract requirements.
  • Handle sub‑contracting for project needs with local and overseas partnering companies.
  • Provide support to the Manager.
  • Coordinate progress meetings and maintain progress reports.
  • Contact contractors, vendors, subcontractors, partners, and coordinate services as directed.
  • Act as a central point of contact for the project team, including directors, supervisors, and subcontractors/partners.
  • Arrange training courses or safety training for project personnel.
  • Liaise with project personnel regarding any discrepancies or matters arising relative to the contract.
  • Monitor the project to ensure it is completed within the given schedule.
  • Create and write progress reports for each milestone and submit them to Project Managers or third‑party supervisors (governmental bodies).
  • Schedule and convene weekly meetings with the project team and organize meetings with any party of the project team when needed.
  • Assist the bidding and tendering team.
  • Perform any other duties as assigned by the HOD, GM, COO, and MD from time to time.
