Responsibilities
  • Administrative Support: Handles general clerical tasks such as answering phone calls, sorting mail, and managing office supplies.
  • Document Control: Organizes and maintains project documentation, files, records, and reports, both physically and digitally.
  • Communication Support: Prepares and proofreads correspondence, memos, emails, and reports on behalf of the PM and other staff.
  • Scheduling and Coordination: Plans and schedules meetings, appointments, and travel arrangements for the project team.
  • Data Entry: Enters data into project management software or spreadsheets and helps track information related to procurement and inventory.
  • General Operations: Ensures the office environment runs smoothly, resolving office-related malfunctions and providing general support to all staff.
  • Accept other duties assigned by the immediate superior and above from time to time.
Requirements
  • 1-2 years of experience in a similar project coordination or administrative support role, preferably within the construction industry.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with diverse stakeholders.
  • Proficient in Excel (VLOOKUP / SUMIF / Pivot Tables / Conditional Formatting).
  • Able to read technical drawings (M&E, ceiling, lighting, basic structure.
  • A team player with a positive attitude and a willingness to learn.
