Job description

Location: KL Eco City, Malaysia (5 mins from LRT/KTM Abdullah Hukum)

Employment Type: Full-Time, Permanent

Travel: Singapore (6–12 trips/year for meetings and vendor reviews)

Start Date: Immediate

You’ll work closely with vendors and teams in Malaysia and Singapore. You’ll be responsible for ensuring the Group receives the right materials, from the right vendors, at the right cost — on time and in full compliance.

This is an operational, business-critical role. When materials arrive late, operations stop. We need someone with strong integrity, exceptional organization skills, and absolute reliability — including responsiveness beyond office hours when urgent needs arise.

Key Responsibilities
Daily Operations
  • Process purchase orders in Navision (Microsoft Business Central) from requisition to delivery, including sourcing
  • Coordinate with Singapore office via mid-day and end-of-day check-ins on critical POs, urgent requests, and deliveries
  • Track all procurement workflows in Wrike and Kissflow, ensuring real-time visibility across POs, negotiations, shipments, and service requests (OTC & Adv)
  • Manage import/export documentation including customs declarations, HS codes, freight booking, and clearance coordination
  • Handle urgent, same-day procurement requests to support critical business needs
  • Source and evaluate suppliers across Malaysia, Singapore, and international markets
  • Negotiate pricing, payment terms (30/60/90 days), delivery schedules, and MOQs
  • Build and maintain long-term supplier partnerships
  • Monitor vendor performance including delivery, quality, pricing, and responsiveness
  • Proactively resolve delivery delays, quality issues, and pricing disputes
  • Conduct quarterly vendor reviews to renegotiate terms and address underperformance
Strategic & Analytical Work
  • Analyze spend to identify cost-saving and optimization opportunities
  • Develop procurement dashboards tracking spend, vendor performance, and savings
  • Drive process improvements to streamline workflows and reduce cycle time
  • Prepare monthly management reports with insights and recommendations
  • Lead cross-functional initiatives including vendor consolidation, onboarding, and system enhancements
What You’ll Need
  • Diploma or Degree in Supply Chain, Business, Engineering, or related field.
  • 3–5 years’ procurement experience (construction, multi-site, or project-based)
  • Experience of import/export, customs, and cross-border sourcing; customs documentation, HS codes (Singapore–Malaysia corridor experience preferred)
  • Proficiency in Microsoft Office and ERP systems - Navision/Microsoft Business Central preferred (SAP, Oracle, or other ERP systems acceptable)
  • Familiar with Project Management Tools such as Wrike, Trello or similar (daily status updates, task planning, progress tracking)
  • Strong communication skills in English and Chinese (required for cross-border coordination and vendor communication)
  • Strong negotiation (balance cost savings with vendor relationships), organization, and problem-solving abilities.
  • Ability to read and interpret Bills of Quantities (BoQ) is an added advantage.
