Job summary

Overview of the role: The PMO role is critical to ensuring governance, control, and operational excellence across Napier’s Professional Services delivery. This position will support the Professional Services leadership team and Chief Customer Officer (CCO) in driving consistent project management practices, financial oversight, and operational reporting. The PMO will act as the backbone of project governance, ensuring adherence to Napier’s project delivery methodology and enabling visibility and accountability across all engagements.

Ultimately the key purpose of this role is to support the PS leadership team in driving a highly effective delivery machine, delivering projects successfully and profitably, with best-in-class time to value to our client base.

Your day to day: PMO

Project Governance & Control

  • Maintain and enforce Napier’s Project Delivery Framework, including stage gate reviews, WBS structures, and governance checkpoints.
  • Ensure all projects adhere to Napier’s methodology, templates, and compliance standards.
  • Facilitate lessons learned sessions and maintain a repository of best practices for continuous improvement.
  • Monitor project health through RAID logs, risk assessments, and quality assurance checks.
  • Support global Professional Services team, with particular focus on PMs, in ensuring best practice project delivery, procedures, documentation etc.

Reporting & Analytics

  • Produce weekly and monthly project status reports, including KPIs, risks, and financial metrics for internal and external stakeholders.
  • Communicate upcoming go-live dates, project status, and responsible PMs to relevant stakeholders.
  • Prepare board pack reporting and contribute to monthly operations meetings with actionable insights.
  • Maintain dashboards for portfolio performance, resource utilisation, and delivery metrics.
  • Proactively flag project risks and issues (time, resource, margin, budget etc.) to PS leadership team and CCO.

Financial PMO Tasks

  • Oversee timesheet management and compliance, ensuring accurate resource allocation and utilisation tracking.
  • Monitor and ensure all time sheets entered weekly across services on time and accurately (using NetSuite).
  • Analyse time sheet data and produce weekly report covering utilisation, indicative P&L etc. for PS.
  • Produce monthly report detailing time, utilisation, revenue, margin and KPI performance across services
  • Maintain and review capacity plans across ongoing PS projects.
  • Create and maintain projects in NetSuite projects, leading the onboarding of new hires and coaching of staff in use of NetSuite and timecodes.
  • Lead the management, coordination, and creation of documents for the asset library using outlined governance documents.
  • Support financial forecasting and variance analysis for Professional Services projects.
  • Administer PMO tools and systems (e.g., Kantata, MS Project, SharePoint), ensuring data integrity and timely updates.
  • Support the rollout of the Kantata tool and work with the PS leadership team to ensure its successful adoption, maximising efficiencies and benefits.

Operational Support

  • Provide continuous support to the Professional Services leadership team and CCO for team meetings, governance forums, and strategic planning sessions, as well as ad hoc reporting, KPI tracking etc
  • Coordinate monthly operations meetings, collating inputs from delivery teams and preparing consolidated reports.
  • Assist in resource planning and capacity management across the Professional Services team.
Do you have what it takes?
  • Strong understanding of project governance frameworks (PMBOK, PRINCE2, or similar).
  • Experience in Professional Services environments, ideally within SaaS or RegTech.
  • Proficiency in PMO tools (e.g., MS Project, Kantata, SharePoint) and advanced Excel reporting - comfort with xlookups, pivot tables, and financial formulas).
  • Knowledge of financial PMO processes, including timesheet control, utilisation tracking, and cost management.
  • Excellent organisational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong stakeholder management and communication skills, with experience preparing executive-level reports.
  • Basic financial analysis.
  • AI & automation experience desirable.
