Job summary

A leading executive support firm in Malaysia is seeking an experienced executive assistant to manage the Group CFO’s calendar and coordinate meetings. This role requires 7-10 years of experience supporting C-level executives, along with strong organizational, communication, and problem-solving skills. The successful candidate will arrange travel itineraries, prepare correspondence, and ensure the professional reputation of the Group CFO’s office is upheld through effective communication. Proficiency in Microsoft Office is essential.

Job description

Manage and coordinate the Group CFO’s calendar, scheduling key internal and external meetings.

Arrange complex travel itineraries and accommodation for the Group CFO and senior management.

Track report submission deadlines and follow up with department heads for timely completion.

Prepare, proofread, and draft correspondence, summaries, and follow-up actions on behalf of the Group CFO.

Support Board/EXCO and other leadership meetings, including teleconference setup and minute‑taking when required.

Plan and organize small‑scale to large‑scale meetings and events.

Perform general administrative and clerical tasks such as transcription, scanning, filing, data entry, and mail management.

Manage, update, and securely maintain documents and agreements in hardcopy and digital formats.

Assist with special tasks, research, and projects assigned by the Group CFO.

Uphold the professional reputation of the Group CFO’s office through respectful and effective communication.

Carry out additional duties as assigned.

Requirements
  • Bachelor’s degree in Finance, Business Management, Economics, Human Resources, Office Management, Administrative Studies, or related fields.
  • 7–10 years of experience supporting C‑level executives.
  • Strong organizational skills with proven ability to manage complex calendars, records, and filing systems.
  • Demonstrated experience in planning and coordinating meetings.
  • Ability to operate effectively in a fast‑paced and complex environment.
  • Mature and professional demeanor with strong interpersonal skills for engaging with staff, board members, and external partners.
  • Highly resourceful and capable of working both independently and collaboratively.
  • Strong problem‑solving and decision‑making abilities.
  • Proven discretion in handling confidential information and managing competing priorities.
  • Excellent verbal and written communication skills, including strong grammar and proofreading abilities.
  • Strong computer proficiency, particularly in Microsoft Word, Excel, PowerPoint, and Outlook.
