Personal Assistant (Executive Secretary To CFO)
Candidates from an accounting background who wish to transition into a PA/business support role are encouraged to apply. This role focuses primarily on business support responsibilities.
Key Responsibilities
Meeting & Board Coordination
- Schedule, organize, and coordinate meetings, including board-level sessions.
- Prepare agendas and ensure timely updates to the meeting calendar.
- Record accurate minutes and distribute them promptly.
- Track business action items and ensure timely follow‑ups.
Email & Communication Management
- Monitor the GCFO’s email inbox and respond on their behalf where appropriate.
- Draft, review, and refine business correspondence in English (Mandarin proficiency is an added advantage).
Document & Approval Handling
- Sort, prioritize, and manage documents and emails requiring GCFO review and approval.
- Ensure time‑sensitive materials are processed and approved within required timelines.
Task & Deadline Monitoring
- Follow up with Heads of Departments on outstanding matters.
- Monitor deadlines and escalates issues when necessary.
Administrative & Confidential Support
- Handle confidential information with utmost discretion.
- Willingness to stay beyond office hours and work overtime when required.
Requirements
Education
- Degree in Accounting, Finance, Business Administration, or a related discipline.
- Strong preference for candidates with an accounting or finance background.
Experience
- Prior experience supporting C‑Suite executives in a publicly listed or large organization is preferred.
- Candidates without PA experience but with strong accounting/finance backgrounds will also be considered.
Skills & Attributes
- Exceptional attention to detail and accuracy, especially in minute‑taking.
- Excellent command of English; Mandarin is an advantage.
- Highly organized, proactive, and able to perform effectively under pressure.
- Strong sense of urgency with the ability to prioritize tasks efficiently.
- Assertive, results‑driven, and diligent in follow‑ups.
