A fast-growing KL-based company is seeking a Personal Assistant/Executive Assistant to support the Managing Director. Key responsibilities include managing schedules, coordinating with teams, and maintaining accurate records. In this role, you’ll sit close to leadership, handle sensitive information, and ensuring day-to-day operations run smoothly. If you’re organised, discreet, proactive, and love bringing structure to a busy, fast-paced environment, you’ll thrive here.
Provide full executive support to the Managing Director, including calendar management, meetings, travel, and confidential correspondence.
Prepare agendas, take minutes, track decisions, and ensure timely follow-up on all action items.
Support problem-solving and crisis management on behalf of the Managing Director
Assist with ad hoc tasks and special projects assigned by the Managing Director
Coordinate with key teams (e.g. marketing, operations, customer service, warehouse, finance) to keep the Managing Director updated on business and e-commerce performance
Optimise and implement more efficient processes, workflows, and SOPs across departments
Act as a liaison between the Managing Director and other departments to ensure clear and effective communication
Coordinate with internal and external stakeholders, including partners, vendors, and key clients, on behalf of the Managing Director
Organise and maintain proper digital and physical filing of documents, records, and confidential information
Handle occasional personal matters and arrangements for the Managing Director (e.g. appointments, bookings, renewals)
Diploma / Degree in Business Administration, Management, Secretarial Studies or related field
Minimum 1 year experience as a Personal Assistant / Executive Assistant, preferably supporting senior management
Strong organisational and time management skills with the ability to multitask and work under pressure
Excellent communication and interpersonal skills, with the confidence to interact with all levels of the organisation
Exceptional attention to detail and a high level of accuracy in work
Ability to work independently with minimal supervision and take initiative in solving problems
High level of discretion and confidentiality when handling sensitive information
Good command of English and Bahasa Malaysia (both written and spoken); Mandarin is a plus
Proactive, resourceful and adaptable in a fast-paced working environment
Willing to occasionally work beyond normal office hours when required
