People Services Senior Specialist, Talent Acquisition Delivery

The People Services Senior Specialist, Talent Acquisition Delivery, is a key member of the TA delivery team within the People Services Hub in Kuala Lumpur, Malaysia. This role is responsible for executing transactional and administrative activities that support the Talent Acquisition Center of Excellence (COE), ensuring timely, accurate, and candidate‑friendly service delivery across recruitment processes, while collaborating closely with recruiters, hiring managers, and vendors.
Talent Acquisition Service Delivery
- Manage job posting activities across internal and external platforms, ensuring accuracy and consistency.
- Coordinate interview scheduling between candidates, hiring managers, and interview panels.
- Support candidate application follow‑up and initial screening activities as required.
- Conduct and track pre‑onboarding checks (e.g., background verification, documentation follow‑up).
- Support separation and off‑boarding activities, including coordination of exit interviews and documentation.
- Maintain accurate records of recruitment activities in relevant HR systems.
- Respond to and handle TA related inquiries which have been escalated by the helpdesk team.
- Reach out to TA COE, if required, for their expertise to address inquiries promptly and accurately.
- Liaise with external recruitment vendors for scheduling, documentation, and candidate updates.
- Collaborate with recruiters and hiring managers to ensure smooth execution of recruitment processes.
- Escalate issues or delays to the TA & TMOD Delivery Lead as needed.
Process Compliance & Improvement
- Ensure all TA processes comply with internal policies and data privacy regulations.
- Identify opportunities to improve efficiency and candidate experience in TA delivery.
- Support documentation and updates of standard operating procedures (SOPs).
Reporting & Documentation
- Assist in preparing reports and dashboards related to recruitment activity, pipeline status, and service metrics.
- Maintain accurate and up‑to‑date documentation of candidate records and process logs.
About You
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 2–4 years of experience in recruitment coordination, HR operations, or shared services.
- Familiarity with applicant tracking systems (ATS) and HR platforms such as SAP SuccessFactors or Workday.
- Strong organizational skills and attention to detail.
- Excellent communication and stakeholder management skills.
- Fluent in English and Mandarin/Cantonese.
- High integrity and confidentiality.
- Ability to manage multiple priorities and drive continuous improvement initiatives.
