A leading project management firm is seeking an Operation Assistant / Project Coordinator in Kuala Lumpur to support Japanese Project Managers with app operations and debit card projects. The role involves coordinating tasks, monitoring progress, preparing reports, and acting as a liaison between stakeholders. The ideal candidate will have 3–5 years of relevant experience and be comfortable in a Japanese management environment. Operation Assistant / Project Coordinator

This position supports two Japanese Project Managers and focuses on ensuring the smooth operation and progress of app operations/development and debit card–related projects through coordination, monitoring, and follow-up.

Core Responsibilities
Project Coordination & Progress Management
  • Support Japanese Project Managers in day-to-day project coordination and follow-up activities
  • Monitor project timelines, milestones, and deliverables for app operations/development and debit card–related projects
  • Track task status, approval flows, and outstanding action items across multiple projects
  • Follow up with relevant parties to ensure tasks are completed on time
  • Escalate delays or issues to Project Managers when necessary
Internal & External Stakeholder Coordination
  • Act as a coordination point between internal teams (development, customer support, operations) and external vendors
  • Relay instructions, updates, and clarifications between stakeholders to ensure alignment
  • Support communication with overseas teams and partners when required
Reporting & Documentation
  • Prepare simple progress reports, summaries, and status updates for internal use
  • Maintain project-related documentation, task lists, and tracking records
  • Assist in organizing meeting notes and action items
System Monitoring & Operational Checks
  • Check and monitor system status related to payment platforms and crypto‑related systems
  • Confirm operational status and report abnormalities to the relevant teams

Note: This role does NOT involve fund transfers, payment execution, or approval authority

Administrative & Operational Support
  • Support daily operational and administrative tasks related to project activities
  • Assist with scheduling meetings, coordinating timelines, and managing follow-ups
  • Handle ad‑hoc operational tasks assigned by Project Managers to support smooth project execution
