Job description
OFFICER - HUMAN RESOURCES & ADMINISTRATION
  • Routes and screens telephone call, greets visitors, responds to inquiries from the public, and provides information about the organization in a professional manner.
  • Takes messages and informs staff of visitors’ arrivals or cancellation of appointments.
  • Helps ensure security of the office by monitoring the access of visitors.
  • Handles the receiving of parcels delivered by hand or courier and distributes them to the respective recipients in the Management Office.
  • Handles the collecting of parcels received by clients.
  • Monitoring and update the call charges.
  • Ensures the reception area and meeting rooms are well maintained and neat.
  • Sorting all the incoming faxes and incoming mails and distribute to relevant dept.
  • Update the telephone directory in PC console system and lotus notes.
  • Carries out e-procurement system, i.e. raise PO and closing PO for office supplies.
  • Arranges invoices, bills, and purchase orders for utilities, office supplies, and equipment to be submitted for approval.
  • Ensures utility bills are paid on time and filed accordingly.
  • Compiles monthly departmental cost reports for usage of telephones, photocopiers, petrol, courier services, and postal services.
  • Controls and keeps record of the lending of equipment to staff (e.g., laptops, cables, projectors etc.).
  • Arranges for the sending out of mails and parcels via post and courier
  • Prepare monthly Payroll i.e. temp and casual workers in an accurate and timely manner.
  • Organized employee engagement events.
  • To comply with all company policies, including those related to OSHA regulations.
  • To adhere to workplace safety protocols, participate in safety training programs, and promptly report any safety hazards or incidents to Company.
  • Understands and applies all policies implemented by Sunway to any personal data received, used, transmitted, processed, or stored.
  • Ensures that personal data is not disclosed to any unauthorized third party without obtaining clearance from the Information Manager, or the PDP Officer.
  • Complies with all Sunway policies in relation to the Act and assists the Information Manager in any personal data protection matters.
  • Ensures that consent is obtained from the data subjects whenever personal data is collected and the personal data protection notice is always served to the data subjects upon collection of their personal data.
  • Reports any enquiries/complaints in relation to personal data and data security breach incidents to the Information Manager immediately.
  • Ensures that all personal data is protected from any physical damage and from any unauthorized access, alteration, removal, or destruction according to the Personal Data Protection Security Policy.
  • Reports any actual or suspected data security breach and violations to the Information Manager as soon as possible.
  • Provides full co-operation to the PDP Officer upon an internal audit or investigation.
  • All employees are required to adhere to the company's safety, health, and environmental policies, ensuring compliance with legal regulations and best practices to create a safe, healthy, and sustainable work environment for all.
