Role Purpose
The position is responsible for handling inbound, outbound, and transit cargo documentation in accordance with company standard operating procedures. The role must also ensure that all estimated and final cargo load information is accurately dispatched to the Loadsheet (Malaysia Airlines, MH, and Foreign Carrier Airlines (FOCA)) within the required service standards for flight load planning.
Key Accountability
- Finalize the cargo load and submit the final load details to the Load Sheet at least two hours before the Standard Time of Departure (STD) using the MH system or the Customer Airline’s system.
- Monitor the flight schedule through the Flight Monitoring System and act when necessary.
- Ensure all flight documents are complete and accurate, and coordinate with the vendor to dispatch them to the aircraft within the required service standards.
- Prepare, verify, and complete all documentation in accordance with the cargo manifest.
- Hand over the completed documentation to the vendor for dispatch and record the process in the logbook.
- Conduct daily stock checks of all pigeonholes (MH/FOCA) and take prompt action on any discrepancies.
- Coordinate with relevant units or departments regarding last‑minute shipments or changes to the flight load.
- Ensure that the Notification to Captain (NOTOC) is prepared, dispatched to Load Sheet, and that a copy of the Dangerous Goods (DG) documents is properly filed.
- Ensure accurate updating of AWB information in the system.
- Update pieces, weight, routing, commodity codes, flight number, rates, and other applicable charges correctly.
- Enter the correct pallet number, pieces, weight, and destination for each Unit Load Device (ULD) in the warehouse system.
- Process amendments requested by customers based on original documents.
- Deliver documents to consignees or agents within the required service standards.
- Monitor vendor performance to ensure compliance with service expectations.
- Ensure all documentation is complete and properly filed in accordance with IMS requirements.
- Maintain cleanliness at all times and carry out daily 5S activities.
Qualification & Working Experience
- Minimum SPM/SPMV/STPM/DVM/Diploma in Logistics, Supply Chain Management, Aviation Management, Business Studies, or a related field. A Bachelor’s degree is an added advantage.
- Relevant certifications (e.g., Dangerous Goods Regulations – DGR, ULD Handling, Cargo Documentation) are preferred.
- Minimum 1–2 years of experience in cargo operations, warehouse handling, load control, or aviation ground services.
- Fresh graduates may be considered if they demonstrate strong aptitude and interest in aviation logistics.
