Office Administration Assistant (with Accounting Support)

We are seeking a detail-oriented and proactive Office Administration Assistant in JB to support daily office operations, accounting activities, and internal coordination. The ideal candidate will have administrative experience combined with hands-on accounting exposure, preferably within the insurance or financial services industry.

This role requires strong organizational skills, the ability to work independently, and effective coordination with internal and external stakeholders.

Key Responsibilities
Office Administration
  • Arrange and coordinate internal and external meetings (calendar management, meeting rooms, materials, minutes)
  • Provide administrative support to management and team members
  • Maintain office systems, documents, and administrative tools
  • Handle correspondence, filings, and general office logistics
  • Assist with travel arrangements and expense tracking
Accounting & Finance Support
  • Assist with accounting entries (e.g., invoices, expense claims, payments, journal entries)
  • Support month-end and basic bookkeeping activities
  • Coordinate with external accountants, auditors, or finance service providers
  • Maintain accurate financial and administrative records
HR & Internal Coordination
  • Coordinate HR-related administrative matters (onboarding/offboarding, employee records, leave tracking)
  • Assist with payroll coordination and benefits administration (as applicable)
  • Support internal policies, procedures, and compliance documentation
General Support
  • Act as a point of contact for vendors and service providers
  • Assist with ad-hoc projects and administrative tasks as needed
Qualifications & Requirements
  • Diploma or Bachelor’s degree in Accounting, Business Administration, Finance, or related field
  • 2+ years of experience in office administration and/or accounting support
  • Accounting experience is preferred (bookkeeping, accounting entries, expense processing)
  • Prior experience in the insurance or financial services industry is a plus
  • Proficient in MS Office (Excel, Word, Outlook)
  • Strong organizational, communication, and time-management skills
  • High attention to detail and confidentiality
  • Ability to work independently and collaboratively in a fast-paced environment
Preferred Skills
  • Fluent in English and Chinese, reading and writing
  • Familiarity with insurance operations
  • Basic knowledge of HR administration practices
