A leading payment service provider in Kuala Lumpur is seeking an experienced Office Admin Manager to provide executive support and oversee office operations. The role involves managing day-to-day office activities, ensuring compliance with policies, and coordinating employee-related inquiries. Candidates must have at least 5 years of experience in office management and possess strong organizational and communication skills in both Mandarin and English. This position is fully on-site and offers a dynamic work environment.

Work Arrangement: Fully On-site
Provide direct support to the Country Manager in daily operations and strategic initiatives.
Coordinate business expansion–related tasks, including assisting with business registrations, compliance submissions, and acting as the liaison with internal Legal team.
Prepare and review business reports, performance summaries, and strategic presentations.
Gather data, verify accuracy, and support business performance analysis.
Assist in preparing decks, documentation, and materials for internal and external meetings.
Oversee daily office operations to ensure a clean, organized, and productive work environment.
Manage office facilities, supplies, vendors, and contracted service providers.
Implement and enforce office policies, procedures, and workplace guidelines.
Monitor office cleanliness and employee workspace organization; take corrective action when necessary.
Handle administrative functions including documentation, scheduling, mailing, and coordination of office activities or events.
Ensure office safety, security procedures, and maintenance requirements are fulfilled.
Act as the primary point of contact for employees on office-related matters.
Ensure employees comply with internal policies, office rules, and operational SOPs.
Collaborate closely with internal teams on operational processes.
Ability to speak and write in Mandarin and English is preferred to effectively communicate with our diverse client base and stakeholders.
At least 5 years of relevant experience in executive support, office operations, or administrative management, preferably in a fast-growing company.
Diploma or Bachelor’s Degree in Business Administration, Management, or related field.
Experience in office management or administrative operations is preferred.
Strong organizational skills with the ability to multitask in a fast-paced environment.
Able to work independently with minimal supervision.
Team player with a positive, professional attitude.
Proficient in Microsoft Office (PowerPoint, Excel, Word).
High level of integrity, responsibility, and reliability.
