We are an expanding F&B group seeking a highly organised and proactive Management Assistant / Executive Assistant to support our senior management. This hands‑on role combines executive support, operations coordination and travel to outlets/events. Key Responsibilities:
- Manage the Executive Director’s calendar, meetings, travel arrangements and communications.
- Prepare reports, memos, presentations, and other documents for internal and external use.
- Handle confidential information with integrity and discretion.
- Organize and prioritize incoming information, ensuring the ED is well‑prepared for meetings and deadlines.
- Assist with coordination of cross‑functional projects, especially between culinary, operations, and marketing teams.
- Track and follow up on key initiatives, business development tasks, and departmental goals.
- Support the ED in vendor management, including contracts, negotiations, and performance reviews.
- Maintain and organize files, records, and documentation.
- Act as a gatekeeper and liaison for the ED with internal staff and external stakeholders.
- Attend meetings, take minutes, and follow up on action items.
- Draft professional correspondence and ensure timely responses to inquiries.
- Coordinate event logistics for executive meetings, board meetings, or corporate functions.
- Support ad‑hoc tasks, special projects and assignments given by management.
Qualifications:
- Diploma / Degree in Business Administration, Management or related field.
- At least 2–4 years of experience as an Executive Assistant, Management Assistant, Project Coordinator or similar role, ideally in F&B/retail.
- Exceptional written and verbal communication skills.
- English, Mandarin, BM. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin‑speaking clients.
- Proficient in Microsoft Office Suite and scheduling software (e.g., Outlook, Excel, PowerPoint).
- Strong organisational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines under pressure.
- Understanding of food and beverage industry operations is highly desirable.
- Comfortable travelling between outlets and attending off‑site meetings/events.
- May require extended hours or weekend availability based on business needs.
