Management Assistant/Executive Assistant

We are seeking a highly motivated and ambitious Executive Assistant / Management Assistant to directly support the Managing Director (Founder). This role combines executive support (calendar, scheduling, limited personal affairs) with business-critical responsibilities (PDCA execution, task tracking, and process/system development). This is a direct-report role with high exposure across all departments and subsidiaries, offering strong growth potential for a career-driven individual.

Key Responsibilities
  • Organize and coordinate the MD’s daily schedule (meetings, appointments, key follow-ups).
  • Manage occasional personal matters with discretion and integrity.
  • Handle sensitive and confidential information responsibly.
  • Translate the Founder’s directives into structured tasks with clear owners, deadlines, and measurable outcomes.
  • Implement and monitor PDCA (Plan-Do-Check-Act) across departments; track progress and close loops.
  • Serve as the “control tower” for cross-department follow-ups and deliver concise status reports to the Founder.
  • Build and maintain a company-wide task tracking system/app for transparency and accountability.
  • Partner with department heads to document SOPs, checklists, and workflows; standardize and maintain version control.
  • Produce dashboards highlighting completion rates, bottlenecks, risks, and corrective actions.
  • Bridge communication between the Founder and leaders across subsidiaries.
  • Support HR/Sales/Operations leadership in performance monitoring and structured follow-ups.
  • Reinforce a culture of discipline, accountability, and growth-focused behaviors.
  • Evaluate and recommend tools, methods, and workflows that raise operational efficiency.
  • Benchmark best practices in interior design/renovation and adjacent industries and convert them into internal guidelines.

Professional Requirements
  • Bachelor’s degree in Business, Management, or related field.
  • 3+ years of experience in management-level roles or in business/enterprise management & development.

  • Excellent organization, communication, and problem-solving skills.
  • Exceptional multitasking, organizational and time-management skills in a fast paced environment
  • Fluent in English (Mandarin a strong advantage).
  • Proficiency with productivity/management tools (Asana, ClickUp, Notion, or similar) will be given priority.
