Job summary

A leading facility management company in Putrajaya is looking for a Facility Management Coordinator. You will be responsible for planning and coordinating maintenance schedules, ensuring compliance with ISO standards, and managing contractor activities. Ideal candidates have 4–6 years of experience in FM, proficiency in Microsoft Office and Oracle systems, and knowledge of AutoCAD. This position requires strong supervisory and documentation skills.

Qualifications

Job description
Responsibilities
  • Plan, coordinate, and update maintenance schedules to ensure compliance with ISO 9001, ISO 14001, and OHSAS 18001 standards.
  • Monitor and oversee contractor/vendor activities to ensure compliance with contracts, cost control, and quality standards.
  • Conduct quality control inspections of infrastructure works to ensure adherence to specifications, safety codes, and industry practices.
  • Manage inventory of materials, equipment, and supplies, including receiving, issuing, storage, and periodic stock checks.
  • Maintain accurate documentation such as stock registers, GRNs, delivery orders, and prepare periodic inventory and maintenance reports.
  • Provide 24-hour support for emergency breakdowns/complaints and coordinate prompt response with maintenance personnel.
  • Prepare and submit monthly operations reports and other required reports for management and clients.
  • Support procurement processes from purchase requisition to receiving, and assist with invoice submission and payment follow-ups.
  • Ensure safety compliance by administering PPE requirements, safety passes, and clearance for staff and contractors.
  • Perform administrative support including preparing meeting documents, correspondence, schedules, and maintaining accurate records.
Requirements
  • Post Graduate Certificate/Diploma in Administration or related field.
  • At least 4–6 years relevant experience in Facility Management (FM) under General Services.
  • Proficient in Microsoft Office and Oracle systems for reporting and documentation.
  • Familiarity with AutoCAD or equivalent software for infrastructure/maintenance planning.
  • Strong knowledge of ISO standards (ISO 9001, ISO 14001, OHSAS 18001) and compliance in FM operations.
