JOB PURPOSE
To coordinate all maintenance and project-related activities, ensuring efficient workflow, accurate documentation, and effective communication between internal teams and external vendors.
Key Duties and Responsibilities
- Coordination & Communication
- Coordinating with local and international vendors for Maintenance, Improvements, and Projects.
- Preparing Minutes of Meetings (MoM).
- Documenting action items and ensuring timely follow-up.
- Monitoring and onthing PRs, POs, and closing GRPOs.
- Tracking and maintaining the Engineering Financial Monitoring Worksheet.
- Data & System Management
- Monitoring critical spare parts in LIMBLE (CMMS) and coordinating with the engineering team for physical verification.
Planning Support
- Providing support for both Project and Maintenance planning activities.
Qualifications
- Education: High School Diploma or equivalent. Technical certification Gedanken or an Associate's degree preferred.
- Work Experience: Previous experience in a coordination or administrative role, preferably within an engineering or maintenance environment.
- Training/License/Certification: Familiarity with CMMS software (LIMBLE or similar), basic project management training.
- Knowledge of maintenance processes: Understanding the standard procedures and best practices for managing the upkeep, repair, and operational efficiency of physical assets and equipment.
- Knowledge of procurement cycles (PR/PO/GRPO): Familiarity with the end-to-end process of purchasing, from generating a Purchase Requisition (PR) and Purchase Order (PO) to performing a Goods Receipt Posting Outgoing (GRPO).
- Knowledge of financial tracking: The ability to monitor, manage, and report on departmental budgets, expenses, and financial performance related to engineering activities.
- Knowledge of vendor management: Skills in coordinating, communicating with, evaluating, and maintaining effective relationships with external suppliers and contractors.
- Proficiency in documentation: The skill required to accurately create, manage, organize, and store essential records, reports, and technical data.
- Proficiency in minute‑taking: The ability to accurately capture key discussion points, decisions made, and assigned action items during meetings.
- Proficiency in relevant software applications (CMMS, MS Office Suite): Skill in using specific software tools, such as a Computerized Maintenance Management System (CMMS) like LIMBLE and common office productivity software (Word, Excel, Outlook).
