Job description

The Library Assistant in the Lending Services Unit will provide lending services to staff and students of the Library. It is part of a team that ensures library materials are made available to users and delivered in a timely manner.

Areas of Responsibilities

Provide loans/reserve/multimedia services to students and staff

  • Provide loans and reserve multimedia collection service, including dealing with loan/reserve enquiries
  • Perform counter and charging duties at the Lending Services Counter (offline charging and discharging)
  • Educate and assists users to familiarise with the Self Loan Machine and Book Drop (Book Returns)
  • Prepare items to be placed on Reserve
  • Ensure Reserve and Multimedia Collection are tidy and neat
  • Prepare Lending services activity reports and maintain statistics as required
  • Ensure Library rules and regulations are properly adhered to by Library users
  • Ensure safe and conducive atmosphere in the Library
Assist with the accessibility and maintenance of Library collections
  • Undertake re-shelving of Library materials and maintain bookshelves in good operating order by conducting regular shelf-reading
  • Undertake the updating of catalogue holdings information for materials removed from the collection, unwanted or lost
  • Identify damaged and worn reading material for replacement, weeding or binding and serials binding
  • Monitor return items at the Book Drop Bin to identify inactive items and to change the status accordingly
  • Maintain the quality and durability of Multimedia Collection
Assist with administrative duties
  • Ensure lost and found items are properly maintained
  • Process, acknowledge and display appropriate gift items
  • Ensure updated library brochures are displayed properly
  • Ensure library notices and information displayed are updated timelyAssist with lending services related administrative duties
Assist with acquisition and cataloguing processes
  • Assist with processing and performing quality check on new library materials
  • Assist with cataloguing of new library materials
Assist with campus events
  • Assist in preparation of brochures for Open Day / Orientation Day
  • Assist with tour of library for new students during Open Day / Orientation Day
Other Duties
  • Participate in meetings and discussions within the Library and departments in Taylor’s
  • Contribute suggestions for improvements to the work progress
  • Contribute ideas to the future directions and strategies of the Library through participation in discussions and workshops
  • Undertake shift work (night duty, Saturday, Sunday, public holidays and) as and when required
  • Knowledge in international cataloguing and classification standards (e.g. AAC2R, DDC, LCSubject Headings, MARC21)
  • Knowledge in using Library system
  • IT Skills : Microsoft Office software (MS Word and MS Excel, MS Access and MS Powerpoint)
  • Demonstrated ability to work in a team environment to effect change
  • Sound Organisational and time management skills
  • Well-developed communication and interpersonal skills, together with a capacity to deliver a quality client service
  • Proven capacity to effectively liaise and negotiate with a range of users

Job Specifications

STPM/Diploma/University degree in related disciplines, and recognized in librarianship with experience in providing either loans, cataloguing, acquisitions or serials acquisition in the University Library.

Related Experience
