Position: Legal Assistant

Location: Kuala Lumpur, Malaysia

Key Responsibilities for Legal Assistant
  • Administrative & Operational Support: Provide day-to-day administrative support to the Legal Team, including managing documentation, organizing files, and maintaining legal records.
  • Data entry for all legal tasks and contracts submitted to the legal team, ensuring all matters are accurately logged, updated, and tracked to completion.
  • Maintain and update contract repositories, legal trackers, planners, and project documentation.
  • Assist in scheduling meetings, coordinating workshops, preparing agendas, taking minutes, and following up on action items.
  • Prepare dashboards, summaries, progress reports, and presentations for internal reporting using Microsoft Excel, PowerPoint, and other project management tools.
  • Support the standardization of templates and the continuous improvement of legal workflows and operations processes.
Contract Review & Documentation
  • Conduct preliminary review of contracts in accordance with the legal escalation framework and contract review checklists.
  • Review documents from Procurement and RfP processes, ensuring completeness and compliance with internal requirements.
  • Draft basic legal clauses and perform redlining tasks using existing templates.
  • Prepare contract templates and assist in monitoring updates and revisions from HQ.
  • Serve as the PIC for vendor registration or onboarding programs where required.
Compliance & Governance Support
  • Collaborate with internal stakeholders to support compliance with legal, regulatory, and corporate governance requirements in ongoing projects.
  • Assist in internal Data Protection compliance exercises across the region, including documentation and monitoring activities.
  • Support MOF applications, insurance renewals, and entity incorporation-related matters.
  • Maintain confidentiality and handle sensitive legal information with high professionalism and discretion.
  • Conduct simple research on regulatory matters, compliance trends, or legal topics as required.
Qualifications
  • Strong organizational, documentation, and administrative skills with high attention to detail.
  • Legal background - preferably a law graduate or an individual with prior experience in a legal team or legal industry.
  • Ability to conduct preliminary contract review and understand basic legal concepts (e.g., contract law, corporate law).
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint.
  • High level of professionalism, discretion, and integrity when handling confidential or sensitive information.
  • Interest in legal processes, compliance, corporate governance, and legal operations.
  • Ability to speak Mandarin is an added advantage.
