Key Responsibilities
HR Administration & Operations
  • Manage and maintain accurate employee records, HR databases, and personnel files.
  • Handle employee lifecycle matters including confirmations, resignations, transfers, and related documentation.
  • Monitor and administer employee attendance, leave records, and probation status.
  • Prepare, review, and issue HR-related letters (e.g. confirmation, warning, memo, etc.).
  • Ensure HR operations and practices comply with company policies and applicable labour regulations.
Payroll & Benefits Administration
  • Coordinate and support monthly payroll processing, including attendance and leave verification.
  • Handle statutory submissions and compliance matters (EPF, SOCSO, EIS, PCB).
  • Administer employee benefits, claims, and insurance matters, including liaison with vendors and insurers.
Employment Pass & Work Permit Management
  • Manage the preparation, submission, and renewal of Employment Passes (EP) and other work permits for expatriates.
  • Track pass expiry dates and proactively coordinate renewal applications with relevant authorities and agents.
  • Maintain complete and accurate records for all expatriate employment passes and permits.
  • Ensure full compliance with Malaysian immigration laws and regulatory requirements.
Employee Relations & Engagement
  • Serve as the first point of contact for HR-related enquiries from employees and managers.
  • Support employee engagement initiatives, company events, and internal HR programs.
  • Assist in handling employee relations matters and related documentation when required.
Job Requirements
  • Diploma or Bachelor’s Degree in Human Resources, Business Administration, or related field.
  • Minimum 1–2 years of relevant HR or administrative experience.
  • Sound knowledge of Malaysian labour laws and statutory requirements.
  • Knowledge of Employment Pass/work permit processes is a plus.
  • Good organizational, communication, and interpersonal skills.
  • Ability to handle confidential information with professionalism.
  • Proficient in MS Office (Word, Excel, PowerPoint) and HR systems.
