Job Summary
The Human Resource Executive is responsible for supporting and executing HR functions including recruitment, employee relations, payroll coordination, performance management, and compliance with labour laws and company policies. This role plays a key part in ensuring effective HR operations and a positive workplace culture.
Key Responsibilities
Recruitment & Onboarding
- Manage end-to-end recruitment activities including job postings, screening, interviews, and selection.
- Coordinate onboarding processes for new employees, including documentation, orientation, and induction.
- Maintain and update employee records and HR databases.
HR Administration
- Prepare HR-related documents such as employment contracts, confirmation letters, warning letters, and resignation acceptance.
- Manage staff attendance, leave records, and employee data.
- Support payroll preparation by providing accurate employee information to the finance or payroll team.
Employee Relations & Performance
- Act as a point of contact for employee HR-related enquiries.
- Assist in handling disciplinary matters, grievances, and employee welfare issues.
- Support performance appraisal processes and KPI tracking.
Training & Development
- Coordinate training programmes, workshops, and staff development initiatives.
- Maintain training records and assist in identifying training needs.
Compliance & Policy
- Ensure HR practices comply with labor laws, statutory requirements, and company policies.
- Assist in updating HR policies, employee handbook, and SOPs.
- Handle statutory submissions and documentation (EPF, SOCSO, EIS, LHDN – if applicable).
HR Projects & Support
- Assist in HR initiatives such as employee engagement activities and company events.
- Provide administrative support for HR audits and reporting.
- Perform other HR-related duties as assigned by management.
Job Requirements
Education
- Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related fields.
Experience
- 3-4 years of HR experience (fresh graduates may be considered).
Skills & Competencies
- Good knowledge of HR practices and Malaysian labour laws.
- Strong interpersonal and communication skills.
- High level of confidentiality and integrity.
- Organised, detail-oriented, and able to multitask.
- Proficient in Microsoft Office and HR systems.
Language
- Proficient in English, Bahasa Malaysia and Mandarin (spoken and written)
