Job description
HR & Administration Responsibilities
  • Responsible for handling a full-spectrum of HR & Admin functions.
  • Prepare all HR documents, such as Employment Contracts, Onboarding Schedules, Probation Evaluation, Confirmation Letters, etc.
  • Handle end-to-end work passes related issues such as application, renewal, cancellation, appealing, expiration, follow up with medical check-ups, updating personal particulars to MOHR, visa application etc.
  • Administer relevant documents pertaining to employees’ employment, resignation, termination, confirmation, contract renewal, appraisal and etc.
  • Handles whole process of final settlement & exit-clearance of Indirect staffs.
  • Handle MOHR surveys and government subsidies which include foreign worker levy waiver application and grant applications.
  • Prepare and submit government bodies and statutory board related surveys.
  • Developing and ensuring compliance with organization policies and procedures
  • Involves in grievance and disciplinary issues
  • Coordination of various courses/training programmers for employees, submission of training applications, grant applications and follow-up on outcome of applications.
  • Registration of Training Course for the Employees
  • Maintain & update the Employees’ Training Record.
  • Ensure appraisal is sent out on a timely manner (May & November)
  • Ensure results of appraisal are updated
Recruitment
  • Handle company’s recruitment, interview arrangement, selection, and hiring processes.
  • Working closely with recruiters.
  • Responsible in full recruitment process including job posting.
Payroll & Submission
  • Perform monthly payroll processes using PayAdvisor.
  • Perform monthly payroll processes EPF, SOSCO Submission, and update e-leave record.
  • Responsible for statutory payment submission and claims - EPF, SOCSO, Insurance, claims, Government-Paid maternity, Paternity and childcare Leave, etc.
  • Submission of Monthly Payroll breakdown report to Accounts Department (HQ).
Administration
  • Ensure all employees adhered to office rule and regulation to making a safety and healthy working environment.
  • Ensure office cleaner carry out his duty on time and completeness.
  • Plan, coordinate and execute various company events, annual dinner, team building and any other events.
  • Ensure application of work permit are processed on time.
  • Constant following up on outstanding matters.
  • Submission and renewal of licensing.
  • Preparation of grant proposal and submission.
