Key Responsibilities
- Process monthly payroll accurately and on time, including basic salary, overtime, allowances, incentives, and deductions.
- Handle statutory compliance (EPF, SOCSO, EIS, PCB/MTD) in system.
- Prepare payroll reports.
- Address employee payroll‑related enquiries professionally and confidentially.
Employee Lifecycle & HR Administration
- Manage employee confirmation matters, including probation tracking, confirmation letters, and system updates.
- Register new employee data into HRIS/payroll systems and ensure completeness of required documents.
- Update and maintain employee master data (personal details, position, salary, cost centre, reporting line).
- Maintain and update the company organisation chart to reflect accurate reporting structures.
- Process employee movement such as transfer, promotion, salary adjustment, and resignation.
- Ensure employee data accuracy across HR, payroll, and related systems.
Records Management & Compliance
- Maintain proper filing of employee personal files, payroll records, and statutory documentation.
- Ensure data confidentiality and compliance with company policies and labour regulations.
- Support internal and external audits related to payroll and employee data.
- Liaise with government bodies and external vendors when required.
System & Process Improvement
- Assist in HR system administration and continuous process improvement.
- Support HR projects and ad‑hoc tasks as assigned by management.
Requirements / Qualifications
- Diploma or Bachelor’s Degree in Human Resources.
- Minimum 3 years of experience in payroll and HR administration.
- Sound knowledge of Malaysian labour laws and statutory requirements.
- Experience using iFlexi/SAP payroll systems and strong MS Excel skills.
- High attention to detail, accuracy, and confidentiality.
- Able to work independently and meet tight deadlines.
