Job summary

A prominent technology company in Penang is looking for an experienced Payroll and HR Administrator to manage payroll processing and ensure compliance with Malaysian labour laws. The successful candidate will handle various HR tasks, including employee data management and statutory compliance. Applicants should have a diploma in Human Resources and a minimum of 3 years' experience in payroll administration, along with strong MS Excel and payroll system skills. Job description
Key Responsibilities
  • Process monthly payroll accurately and on time, including basic salary, overtime, allowances, incentives, and deductions.
  • Handle statutory compliance (EPF, SOCSO, EIS, PCB/MTD) in system.
  • Prepare payroll reports.
  • Address employee payroll‑related enquiries professionally and confidentially.
Employee Lifecycle & HR Administration
  • Manage employee confirmation matters, including probation tracking, confirmation letters, and system updates.
  • Register new employee data into HRIS/payroll systems and ensure completeness of required documents.
  • Update and maintain employee master data (personal details, position, salary, cost centre, reporting line).
  • Maintain and update the company organisation chart to reflect accurate reporting structures.
  • Process employee movement such as transfer, promotion, salary adjustment, and resignation.
  • Ensure employee data accuracy across HR, payroll, and related systems.
Records Management & Compliance
  • Maintain proper filing of employee personal files, payroll records, and statutory documentation.
  • Ensure data confidentiality and compliance with company policies and labour regulations.
  • Support internal and external audits related to payroll and employee data.
  • Liaise with government bodies and external vendors when required.
System & Process Improvement
  • Assist in HR system administration and continuous process improvement.
  • Support HR projects and ad‑hoc tasks as assigned by management.
Requirements / Qualifications
  • Diploma or Bachelor’s Degree in Human Resources.
  • Minimum 3 years of experience in payroll and HR administration.
  • Sound knowledge of Malaysian labour laws and statutory requirements.
  • Experience using iFlexi/SAP payroll systems and strong MS Excel skills.
