Job Purpose: The Human Resources Executive is responsible to provide support in the various human resource functions which include recruitment, new staff induction, compensation & benefits, training & development and day‑to‑day HR operations including administrative support to the Head of Human Resources.
Duties and Responsibilities
- Process all new staff recruitment, schedule/coordinate job interviews with candidates and prepare employment contracts and all relevant supporting documents for new employees.
- Facilitate new employees joining formalities and new employees induction.
- Update and ensure that all employees records are accurately maintained in the personal files of employees, including in digital format as necessary.
- Ensure that all records and changes in employees movements are updated within the stipulated timeline for monthly payroll processing to ensure zero errors in payroll processing.
- Manage and update employees leave records and benefits entitlement.
- Administer and manage training programmes and processes ensuring that HRD grants are applied and claimed accordingly in a timely manner.
- Compile and maintain training records for all employees.
- Monitor new employees confirmation and prepare confirmation letters after necessary approval is obtained.
- Monitor and remind managers on expiry of employment contracts and prepare renewal of employment contracts after necessary approval is obtained in a timely manner.
- Assist academic staff to apply and renew teaching permits and process the applications (new and renewal cases) accordingly ensuring that all relevant documents are submitted for processing in a timely manner.
- Complete relevant paperwork relating to employee resignations and assist with exit interviews.
- Liaise with medical insurance providers to register new employees, withdraw resigned employees and provide assistance to employees to resolve their claims issues.
- Process monthly payroll for all employees.
- Organise and compile records and data as and when required for audit purposes.
- Undertake any other duties as may be reasonably directed from time to time.
Requirements
- Bachelors Degree in Human Resources/Business/Management or other related field
- 2-3 years of relevant work experience in human resources
- Knowledge of all statutory legislations and regulations and labour laws
- Good understanding of HR functions
- Knowledge of and skill in using Microsoft software applications (Word, Excel and PowerPoint)
- Strong organisational skills with ability to pay close attention to detail and perform various tasks simultaneously and accurately
- Ability to work with minimal supervision and maintain strict confidentiality of all records and information
- Ability to work and interact well with all levels of employees in the company
- Ability to communicate effectively and professionally (verbal and written)
