  • Provide administrative support to HR and Admin departments.
  • Maintain proper filing systems and records.
  • Manage data entry and databases effectively.
  • Coordinate supplies and maintain inventory levels.
  • Prepare and submit monthly reports.
Job description

1. Provide administrative support to the Admin and HR departments.

2. Maintain proper filing systems and records for easy retrieval.

3. Conduct data entry and manage databases effectively.

4. Handle pantry and stationery supplies, ensuring inventory levels are maintained.

5. Submit monthly attendance reports to Manager/ Secretary General.

6. Manage and report on TOSHIBA meter readings and coordinate service needs.

7. Assist in the preparation of HR letters and ensure accurate record-keeping.

8. Assist in checking E-ROSES for branches and ensuring accurate records.

9. Assist in monitoring branch AGMs and HQ ADCs, ensuring compliance with timelines.

10. Managing the monthly meetings, including room setup and refreshments.

11. Aid in the compilation of annual reports under National Activity/Secretary General/In-House and branch.

12. Check branch KPIs and maintain up-to-date contact information.

13. Maintain the National Activities board and ensure it reflects current updates.

Event and Membership Coordination
  1. Check membership details for event schedules and purposes.
Facility and Maintenance Management
  1. Handle office equipment maintenance, building maintenance, and related vendor coordination.
Council Member and Staff Support
  1. Manage council member schedules and meeting arrangements.
  2. Handle notices of meetings and record attendance for allowance purposes.
  3. Check staff claims, allowances, and overtime requests.
  4. Assist in ad-hoc tasks and general clerical support as assigned by the superior.
