HR & Admin Executive (Based in Bayan Lepas)

Job Summary
The role is responsible for assisting and supporting all aspects of day‑to‑day HR admin functions, focusing on supporting the overall human resources and administration activities and programs.
Job Responsibilities
- Attendance and leave checking.
- Conduct new hire orientation and exit interview.
- Handle all onboarding and off‑boarding related matters.
- Review, update, maintain, and properly file employee records, personal files, HR-related documentation, policies and procedures.
- Handle HR administration works such as preparation of employment contracts, confirmation, transfer or promotion, warning letters etc.
- Attend to all employees’ queries pertaining to HR policies & procedures.
- Monitor and follow up on all government‑related matters such as work permit applications, HRDF claim, workmen’s compensation claim etc.
- Administration of group insurance related matters.
- Assist the Supervisor in administration and execution of HR activities effectively, such as performance appraisal, training and development, employee relations etc.
- Assist in the recruitment process, such as job posting, setting up interviews and job offer.
- Maintain confidentiality at all times.
- Support for administrative matters, such as office facility maintenance, office cleanliness, stationery order and stock level tracking, oversee cleaner and security guard.
- Manage phone calls and correspondence letters in a professional manner.
- Perform all other ad‑hoc tasks assigned by superior.
People Requirements
- 2–5 years of HR working experience preferred; other applicants are encouraged to apply.
- Possess at least a Diploma / Advanced / Higher / Graduate Diploma in Business Studies / Administration / Management, Human Resource Management or equivalent.
- Proficiency in Microsoft Office & Microsoft Excel applications.
- Able to work independently and demonstrate initiative, good interpersonal communication skills.
- Fast worker and able to multitask and take on new roles as and when assigned.
- Detail oriented, strong problem‑solving and teamwork skills.
- Payroll working experience will be an added advantage (not mandatory).
- Candidates must be willing to work at Bayan Lepas, Penang.
