A leading recruitment agency in Malaysia is looking for a proactive Human Resources & Admin Executive to support HR operations and ensure compliance with regulations. This role involves managing recruitment, employee relations, and performance management, alongside office administration duties. The ideal candidate will have at least 3 years of experience in HR, relevant qualifications, and strong communication skills in Bahasa Malaysia, Chinese, and English.

Qualifications

Overview

We are seeking a proactive and dedicated Human Resources & Admin Executive to support day-to-day HR operations, ensure compliance with employment regulations, and contribute to effective people management across the organisation.

Responsibilities
  • Recruitment & Talent Acquisition: Manage the full recruitment process — from job posting to selection, arranging and conducting interviews (if requested), and job offering.
  • HR Operations & Compliance: Handle HR related letters, update and maintain employee records, and ensure accurate and confidential personnel files in line with the PDPA Act. Act as Occupational Safety and Health (OSH) Coordinator to ensure a safe work environment.
  • Employee Relations: Handling employee grievances and assisting with staff engagement activities, company events, and welfare programs.
  • Performance Management: Assist in performance appraisal systems, ensure staff confirm on time.
  • Compensation & Benefit Management: In charge of the company's benefits and leave management.
  • Training & Development: Overall training administration, which includes training applications, HRDF claims, training arrangement, audit, prepare training report and training evaluation.
  • Office Administration: Supervise daily office administration, including office supplies, facility maintenance, official correspondence, filing system, business licensing, stationery, and ensuring smooth office operations.
  • Perform other related duties related to HR and administrative duties.
Qualifications
  • Minimum Diploma in Human Resource Management/Business Administration or equivalent.
  • At least 3 years of working experience in the related field is required for this position. Preferably a candidate with Occupational Safety and Health (OSH) Coordinator and Personal Data Protection Officer working experience.
  • Familiar with solid knowledge of the Malaysian Employment Act, OSHA, PDPA, statutory requirements and other relevant regulations.
  • Able to handle confidential information professionally and work independently as well as collaboratively.
  • Multi-tasking, meticulous, think out of the box, have a sense of urgency and be able to meet deadlines.
  • Computer literate, notably Microsoft Applications.
  • Required language(s): Bahasa Malaysia, Chinese, and English are required to effectively communicate with multilingual staff.
