The HR / Admin Assistant plays a key support role in ensuring the smooth and efficient operation of the office or department. This position is responsible for performing a variety of administrative and clerical tasks, including managing correspondence, organizing files, scheduling meetings, and assisting with general office duties.
What you'll be doing?
Human Resources (1 post)
- Maintain a secure and up-to-date record of employee passports details and other official documents, particularly for foreign workers or employees on international assignments.
- Monitor and renew passport and visa expiry dates, and coordinate timely renewals or applications with relevant authorities or agencies.
- Liaise with employees and external service providers (e.g. embassies, immigration consultants) to facilitate smooth document processing.
- Assist with payroll preparation by collecting relevant data and documents.
- Maintain accurate and up-to-date employee records, including personal information, attendance, and leave.
Admin (1 post)
- Responsible for front desk reception duties (handle phone calls, meeting room reservation, in-charge of stationery items, cleaning & beverage inventory)
- Responsible for ordering staff meals.
- Monitor inventory levels of kitchen supplies, utensils, and raw materials; assist in stock control.
- Assist in handling staff meal arrangements, hygiene audits, and equipment maintenance schedules.
- Assist in preparing purchase requests and follow up with suppliers on order and delivery status.
- Maintain accurate records of invoices, purchase orders, and payment documentation.
Who are they looking for?
- Possess a minimum qualification of SPM (Sijil Pelajaran Malaysia) or Diploma.
- Able to work independently with minimal supervision and demonstrate a strong sense of responsibility.
- Good command of written and spoken Mandarin, Bahasa Malaysia, and English, as the role requires liaising with Mandarin-speaking counterparts and working in a multilingual environment.
- Basic computer literacy, including familiarity with Microsoft Office applications (e.g., Word and Excel).
- Fresh graduates are encouraged to apply – this is a great opportunity to gain hands-on experience.
