As F&B coordinator at Waldorf Astoria Kuala Lumpur, you will play a vital role in ensuring seamless operations by managing records, reports, scheduling, and communication for the Director of F&B. This role supports financial tracking, guest feedback oversight, and compliance, while also contributing to menu creation, competitive set analysis, and supervision of timesheet management. With strong multitasking skills and a commitment to precision, you will enhance departmental efficiency and help deliver exceptional experiences for both guests and team members.

What will I be doing?

As the F&B coordinator, you will be responsible for performing the following tasks to the highest standards:

Operations
  • Review post‑event reports to ensure accuracy and completeness.
  • Monitor the FCS system to prevent delays or pending tasks.
  • Ensure timely submission of productivity reports (maximum two days pending).
  • Maintain and update guest review records from TripAdvisor and Google.
  • Support F&B outlet managers with special and VIP events.
  • Keep menus and product lists current across all outlets.
  • Track team punctuality and report lateness as required.
  • Produce regular competitive analysis.
Culture
  • Foster a collaborative, positive, and innovative work environment.
  • Ensure a respectful and inclusive workplace in line with company policies.
  • Recognize team contributions and encourage creativity.
  • Maintain discretion when handling confidential information.
Administration
  • Maintain administrative records for the Director and Assistant Director of F&B.
  • Organize schedules, appointments, and correspondence.
  • Attend daily F&B meetings, prepare minutes, and distribute within 24 hours.
  • Prepare presentations and reports for monthly departmental meetings.
  • Maintain an organized filing system for easy information retrieval.
  • Upload training calendars and maintain outlet training records.
  • Track probation evaluations for new hires.
  • Maintain documentation for audits, licensing, and compliance.
  • Prepare requisitions, work orders, and operational paperwork.
  • Record daily F&B revenues in shared analysis files.
  • Track beverage promotions and marketing activities, evaluating ROI.
  • Ensure purchases and inventory align with financial targets.
  • Manage office supply inventory with cost‑control efficiency.
Guest & Team Experience
  • Handle guest inquiries and reservations, including outside operational hours.
  • Monitor guest feedback, ensuring timely follow‑up on comments and complaints.
  • Support loyalty initiatives by tracking and recognizing repeat guests.
  • Promote a guest‑centric culture within the F&B team.
  • Maintain training records and ensure adherence to learning schedules.
Communication
  • Facilitate clear communication between F&B management and outlet teams.
  • Liaise with other departments to resolve issues efficiently.
  • Represent Waldorf Astoria Kuala Lumpur professionally in all communications.
  • Ensure timely responses to reservations and guest inquiries.
  • Compile action plans from weekly stay experience meetings.
  • Communicate outlet promotions effectively and ensure timely execution.
Other Duties
  • Maintain records of new team members’ employment details.
  • Monitor grooming and uniform standards across outlets.
  • Uphold WA and Hilton brand service standards.
  • Support the team in maintaining an organized workspace.
  • Perform additional duties as assigned by F&B leadership.
What are we looking for?

A Food & Beverage Coordinator serving Hilton Brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviours, skills, and values that follow:

  • Minimum of 3 years in a similar role within a well‑established hotel.
  • Strong multitasking, record‑keeping, and attention to detail.
  • Proficiency in Microsoft Office Suite; familiarity with hotel systems (FCS, POS) is an advantage.
  • Excellent English communication, business correspondence, and interpersonal skills.
  • Ability to prioritize tasks, meet deadlines, and handle confidential information with discretion.
  • Proactive approach to problem‑solving and process improvement.
  • Competence in Canva, Adobe InDesign, and Adobe Illustrator for menu design, presentations, and creative collateral.
  • Broad experience in food & beverage operations and modern management principles.
  • Knowledge of current and emerging F&B trends in south‑east Asia, with the ability to anticipate future developments.
  • Experience in tracking performance metrics and preparing financial reports.
  • Exposure to team training, onboarding, and luxury service standards (e.g., Forbes).
