Job summary

A logistics company in Klang City is seeking a responsible Fleet Executive / Admin Executive to support fleet operations and administrative functions. The role involves tracking vehicle movements, managing job assignments, liaising with customers and suppliers, and conducting administrative tasks. Candidates with strong organisational skills and proficiency in Mandarin are preferred. This position offers opportunities for both experienced candidates and fresh graduates. Working hours are Monday to Friday from 9 AM to 6 PM.

Job Description

We are seeking a responsible and well-organized Fleet Executive / Admin Executive to support daily fleet operations and administrative functions. The successful candidate will play a key role in coordinating vehicles, drivers, suppliers, and internal departments to ensure smooth operations.

Job Scope – Fleet Executive
  • Track and monitor vehicle movement through GPS system.
  • Collect customer orders and manage job assignments to drivers via WhatsApp or phone calls.
  • Handle renewal of trucks’ insurance and road tax.
  • Manage truck inspections and arrange inspection bookings.
  • Liaise with customers regarding truck status and updates.
  • Prepare monthly vehicle and fleet reports.
  • Perform ad-hoc tasks as assigned by superior.
Job Scope – Admin Executive
  • Cross-check supplier invoices and process payments via online banking.
  • Liaise with finance department to request and prepare required documents.
  • Coordinate with customers to prepare documents for submission to runners / finance.
  • Perform data entry and maintain accurate documentation records.
  • Handle other administrative tasks as required.

Requirements
  • Experienced candidates or fresh graduates are welcome to apply (salary commensurate with experience).
  • Proficiency in Mandarin is preferred as the role requires liaising with China suppliers and customers.
  • Strong organisational and time-management skills with the ability to multitask.
  • Excellent written and verbal communication skills in English.
  • Proficient in Microsoft Office applications (Word, Outlook).
  • Able to work independently as well as in a team.

Working Hours
  • Monday – Friday: 9:00 AM – 6:00 PM
  • Saturday: 9:00 AM – 6:00 PM (Alternate Saturday off)
