LOCATION : Kuching, Sarawak
Job Purpose
The Finance & Admin Executive is responsible for managing the financial operations and administrative functions of Citaglobal (Sarawak) Sdn. Bhd. This role ensures accurate financial records, timely reporting to Group Finance, and smooth office administration. The position serves as the key finance contact for the Sarawak office, working closely with Group Finance to maintain compliance with Group policies and statutory requirements.
Key Responsibilities
Financial Management
- Maintain accurate and up-to-date financial records using the approved accounting system
- Process accounts payable and accounts receivable transactions
- Prepare payment vouchers and ensure proper documentation and approvals are in place
- Manage petty cash and ensure proper reconciliation
- Coordinate with banks on day-to-day banking matters, including payment processing
- Monitor cash flow and prepare cash flow projections for management review
Reporting & Compliance
- Prepare monthly financial reports for submission to Group Finance
- Assist in the preparation of annual budgets and variance analysis
- Ensure compliance with Group financial policies, Limits of Authority (LOA), and internal controls
- Liaise with external auditors and tax agents as required
- Maintain proper filing and documentation of all financial records
- Ensure timely submission of statutory filings(SSM, LHDN, etc.)
Administrative Functions
- Oversee general office administration, including facilities management and vendor coordination
- Manage office supplies, equipment, and asset register
- Coordinate with Group HR on payroll processing, leave administration, and staff claims
- Supervise the Accounts & Admin Clerk on day-to-day administrative tasks
- Maintain proper records for licences, permits and statutory registrations
Procurement & Contracts
- Assist in the procurement of goods and services in accordance with Group policies
- Maintain vendor database and ensure proper vendor documentation
- Track contract renewals (tenancy, service agreements, etc.) and flag upcoming deadlines
Job Specifications
Qualifications & Experience
- Degree or Diploma in Accounting, Finance, Business Administration, or related field
- Minimum 3-5 years of experience in a similar role, preferably in a corporate environment
- Experience with full set of accounts and financial reporting
- Familiarity with Malaysian statutory requirements (SSM, LHDN, EPF, SOCSO, EIS)
- Proficiency in accounting software(e.g., SQL, AutoCount, or similar)
- Strong MS Excel skills

- Good communication skills in Bahasa Malaysia and English
