A leading electronics company in Malaysia is seeking a Facilities/Site Services Coordinator for a contract role. This position involves ensuring smooth operations of site services and managing daily facilities activities. The ideal candidate will have a Bachelor's degree and a minimum of 3 years experience in facilities or site services. Strong organizational and communication skills are required. Candidates should be fluent in English and Malay, proficient in MS Office, and capable of managing multiple priorities effectively.
The Facilities/Site Services Coordinator ensures efficient, compliant, and smooth operations of site services in alignment with company standards. This role manages daily facilities activities, coordinates with vendors and internal teams, and supports administrative and operational needs to maintain a safe and productive workplace.
Key Responsibilities
Facilities & Site Operations
Deliver high-quality site services including housekeeping, pantry, courier, office services, and central receiving/distribution.
Maintain office equipment (e.g., CCTV, access systems, projectors) and ensure workstation readiness for new hires.
Coordinate with building management on permits, security, and compliance.
Manage processes for CapEx, contracts, expense tracking, and document control.
Support FS&RE leader in tracking operating costs and assist with logistics for office events.
Security & Safety
Oversee security operations and access card management.
Implement contractor safety protocols and monitor compliance.
Procurement & Asset Management
Handle procurement for FS&RE-related items/services and maintain tracking systems.
Process GRNs, verify assets, and coordinate audits and write-offs with Finance.
Track contractor costs and submit monthly expense reports.
Space & Workplace Management
Manage office space planning, occupancy standards, and workstation allocation.
Liaise with landlord for parking and lease-related matters.
Administrative Support
Supervise mailroom and general administrative activities.
Communicate policies and maintain office equipment readiness.
Support internal communications and newsletters.
Project & Strategic Support
Coordinate procurement and vendors during projects, including security and AV services.
Assist with market analysis, lease terms, and space planning for location strategies.
Lead office renovations and ensure timelines, budgets, and quality standards are met.
Other Responsibilities
Oversee renewal of business permits and statutory licenses.
Organize town halls, leadership meetings, and engagement activities.
Provide support for HR and IT when local resources are offsite.
Manage offsite records storage and office maintenance.
Qualifications & Skills
Bachelor’s degree or equivalent; minimum 3 years in facilities or site services.
Strong organizational, communication, and interpersonal skills.
Ability to manage multiple priorities independently.
Fluent in English & Malay (spoken and written); proficient in MS Office.
Experience collaborating across functions and levels.
