Export Coordinator will prepare and manage export documents, coordinate logistics, support customers, maintain data, and drive continuous improvement.
Key Responsibilities
- Prepare, review, and process export documents including commercial invoices, packing lists, certificates of origin, and customs documentation.
- Ensure all export activities comply with international trade regulations, Incoterms, and destination‑country requirements.
- Maintain accurate and organized export records for audits and regulatory reporting.
- Coordinate shipments with freight forwarders, couriers, and shipping carriers.
- Arrange cargo bookings, confirm shipping schedules, and verify freight charges.
- Track shipment status and provide timely updates to internal teams and customers.
- Respond to inquiries from overseas customers regarding order status, documentation, shipping requirements, and product availability.
- Work closely with sales, production, warehouse, and finance teams to ensure timely order fulfillment.
- Assist in resolving shipment delays, documentation discrepancies, or customs clearance issues.
- Update and maintain export data in ERP or logistics management systems.
- Prepare reports on shipment status, export volumes, costs, and KPIs.
- Assist with export forecasting, inventory coordination, and planning activities.
- Monitor updates to export regulations and trade compliance requirements.
- Recommend improvements to streamline export processes and documentation workflows.
- Support internal audits, certifications, and trade‑related projects.
Requirements
- Minimum SPM / Diploma or equivalent qualification.
- Basic knowledge of export procedures, documentation, and logistics is an advantage.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Good coordination, communication, and organizational skills.
- Responsible, detail‑oriented, and able to work as part of a team.
