Job Purpose

Responsible for tracking and coordinating vendor progress to ensure timely delivery of materials, equipment, and documentation in line with project schedules and Purchase Order (PO) requirements. The role involves close follow-up with vendors on Vendor Document Register List (VDRL), vendor progress, inspection activities, Material Deficiency Reports (MDR), payment, and final documentation. A core focus is placed on effective tracking, expediting, delivery monitoring, documentation control, and escalating delays risk to support smooth project execution.

Job Responsibilities
  • Ensure suppliers deliver equipment, materials, anddocumentation in line with Purchase Order (PO) requirements,project schedules, and quality standards.
  • Communicates regularly with vendors and coordinates withinternal teams to ensure timely deliverables. Share accurateupdates to management and supports collaboration across theproject team.
  • Track vendor manufacturing and documentation progressthrough regular reports, visits, and inspections.
  • Identify delays or risks and elevate for corrective actions
  • Proactively manage supplier bottlenecks such as engineeringhold points, delayed approvals, late material availability, ortransport constraints
  • Act as a communication link between Procurement, Engineering,QA/QC, Logistics, and Project Teams to resolve technical orcommercial issues affecting delivery.
  • Maintain and update expediting plans, supplier progress curves,and milestone charts to reflect real progress versus plan.
  • Prepare expediting reports, supplier visit notes, and dashboardsfor management and client reporting.
  • Ensure proper record keeping of supplier communication,commitments, and recovery plans.
  • Risk Management - Highlight potential delivery slippages early and work with stakeholders to mitigate impact on project schedule.
  • Material Deficiency Report (MDR) Management - Coordinatewith vendors and various stakeholders, track progress, andensure timely completion of repairs.
  • Late Delivery (LD) Charges Management -Identify late deliveryorders, provide estimations on chargeable LD amount, engagesupplier for LD agreement, justify supplier clarification on delayreason and propose final LD amount.
  • Additional orders - Ensure suppliers deliver equipment, materials,and documentation in line with additional orders requirements,project schedules, and quality standards.
Requirements
  • Diploma or Bachelor’s degree in any Engineering and Management Field
  • Degree education - 3 years of experience in Expediting, Procurement, Documentation control,preferably in oil & gas, heavy engineering, or construction projects.
  • Diploma education - 5 years of experience in Expediting, Procurement, Documentation control,preferably in oil & gas, heavy engineering, or construction projects.
