Your Mission:
- Prepare non-complex resolutions for the Group’s entities/companies and assist in document requests for these companies.
- Circulate and follow-up on signatures for all documents.
- Handle claims for lodgment, submission and filing of statutory documents required by SSM i.e. Annual Return, Audited AFS, other Statutory Forms.
- Ensure all company records are properly maintained and updated.
- Providing statutory audit documents to auditors and minutes representation.
- Ensure documents are filed/sent to external secretaries.
- Arrangement of CTC documents, SSM Company Profiles and other forms request.
- To common seal documents and record keeping.
Board & Board Committee Meetings
- Assist in meeting coordination and arrangement.
- Assist in the draft and circulation of meeting notices and minutes.
- Feedback form summary, reminders and tracking.
- Ensure attendance list is fully signed and follow-up.
Integrated Annual Report & Sustainability Report
- Attend to shareholder’s requests for Annual Report and Circulars.
- Assist in the planning of timeline, sourcing for new vendors and agencies.
- Involve in the write-up, editing, reviewing, administrative, design, liaison with selected agency, proofreading of Annual Report and Sustainability Report [Governance sections].
AGM & EGM
- Assist in drafting email reminders and door gift redemptions for AGM and EGM.
- Assist in claims for AGM and EGM.
- Assist in documents preparation of the department’s matters for AGM and EGM.
- Assist in coordination and preparation of AGM and EGM.
- To coordinate the sending of appreciation gifts to Directors during occasions.
- Assist in hotel/accommodation booking, transportation for Directors.
- Assist in Directors’ onboarding programme, including welcoming kit.
- Assist in the coordination of Directors visit to factories and of Directors-related events.
- Assist in sending meeting calendars for relevant Group’s events to Directors.
Administrative Tasks
- Training registration and coordination for the team, block calendars.
- Website update [Governance matters].
- Announcements circulation.
Assessments by Rating Agencies & Research
- To assist in providing information for rating agencies assessments.
- Assisting in Board effectiveness evaluation exercise, benchmarking and other Board related matters.
- Conduct ad hoc research and assist in any other work-related matters as and when requested.
